Serves as the first point of contact and customer service representative for the Fairfax County Department of Vehicle Services. Responsible for the professional and efficient management of the reception area, to include answering and responding to calls, and assisting visitors and guests by providing information in an accurate, efficient, professional and courteous manner. Responsibilities include:
Directs incoming calls to proper recipients.- Receives vehicle repair and service requests from drivers; determines whether vehicles require a preventative maintenance service, state inspection, or emission inspection in conjunction with a repair requests; prepares maintenance repair orders; and forwards repair orders to the Vehicle and Equipment Supervisor.
- Checks data system for warranty requirements.
- Updates repair order status in the fleet management system when the vehicle status changes; notifies customers when vehicle repairs have been completed.
- Responsible for coordinating warranty work with DVS maintenance facilities, investigating EZ Pass charges, and issuing credit cards for fuel, as necessary.
- Copies, files, and maintains paper or electronic documents.
- Handles incoming and outgoing mail and e-mail.
Note: The assigned functional areas of the position are general administrative/office support, customer service, and automotive maintenance and repair.
This job announcement may be used to fill future full-time Dispatcher (Administrative Assistant III) at other Department of Vehicle Services (DVS) locations - Alban, Jermantown, Newington, or West Ox.
Based on the needs of the agency, the incumbent will be assigned to either the DVS Administration Office located at the Fairfax County Government Center or one of DVS' four maintenance facilities - Alban, Jermantown, Newington, or West Ox.
Scheduling: Work hours will be one the following three work schedules: First shift (5:30 a.m. to 2:00 p.m.), second shift (10:00 a.m. to 6:30 p.m.) or third shift (2:00 p.m. to 10:30 p.m.).
Salary: This is an entry level position and the salary offer will not exceed the midpoint (or $52,883.58) of the advertised compensation range. Promotional rules apply for current Fairfax County Government and Fairfax County Public Schools employees.
MINIMUM QUALIFICATIONS:
Any combination of education, experience and training equivalent to high school graduation and two years of experience providing administrative support in the assigned functional area(s).

PREFERRED QUALIFICATIONS:
The ideal candidate has demonstrated experience in providing administrative support with strong customer service and organizational skills. Familiar with motor vehicles and general tools, techniques and products used by vehicle and equipment technicians. Ability to multitask, respond to customers, conduct business in a professional manner, work independently, and set priorities. Must be detail-oriented and have excellent communication skills. Proficiency in using Microsoft Office Suite applications, i.e. MS Word, Excel, and Outlook. Familiar with Northern Virginia area and the ability to read maps. Must be punctual, dependable, and able to arrive on-time daily. Possession of current Automotive Service Excellence (ASE) certification(s), a plus.
NECESSARY SPECIAL REQUIREMENTS:

PHYSICAL REQUIREMENTS:
