Administrative Assistant
Family Church Tequesta
Position Overview: Under direct supervision, this position is responsible for providing administrative support and assistance to the Campus Pastor and, if applicable, the Campus Director in the planning and execution of office and campus operations. Although sometimes required as part of this role, ministerial duties will average less than 50% of a regular work week.

Prerequisites:
- Ability to meet all minimum eligibility requirements to be a member of Family Church
- Affirm the Family Church Network statements of belief and practices as codified in our organizational Bylaws and detailed in the Baptist Faith and Message confessional statement of 2000.
- Excellent administrative and organizational skills
- Strong written and verbal communication skills
- Demonstrated ability to multi-task and prioritize workflow
- Proficient in MS Word and Outlook, other MS Suite applications are preferred
- Ability to maintain a professional and positive demeanor
General Responsibilities: (Applies to all Administrative Roles)
- Receive and make ministry/vendor contacts including phone calls, text messages, emails, etc.
- Maintain detailed documentation for campus, department, and/or ministry areas
- Manage and effectively prioritize personal workflow
- Maintain a cooperative spirit by assisting others when needed or requested
- Communicate effectively with leaders, peers, and members
- Demonstrate stewardship of church resources including supplies, equipment, intellectual property, etc.
- Understand and adhere to procedural guidelines and policies
Role-Specific Responsibilities: (Applies to all Administrative Assistants)
- Effectively communicate with campus pastor/director and other Family Church staff.
- Submit requests for the creation, design and layout of pamphlets, blogs, articles, and other printed materials for campus/ministry-area use.
- Attend required/necessary campus and/or ministry-area meetings; capturing and distributing relevant minutes; and providing the status of distributed action items.
- Assist the campus pastor/director in the management of his/her Outlook inbox, including the management of his/her work schedule and calendar.
- Host individuals and groups that are meeting on campus or scheduled to meet with a pastor/director.
- Maintain email and other written correspondence on behalf of the pastor/director.
- Maintain compliance with assigned budgets and expense allocations.
- Maintain accurate and complete information on church sponsored websites and social media accounts.
- Assist in the adherence of church branding and marketing guidelines.
- Assist in the preparation of reports and presentations for meetings, events, and retreats.
- Maintain accurate and complete volunteer records, including the management of required background checks, applications, liability releases and other related forms.
- Assist in the coordination of monthly membership classes, leadership training, and other campus sponsored activities.
- Prepare and distributing campus-wide emails.
- Order and maintaining all campus office supplies.
- Maintain related campus data in membership software.
- Coordinate the pick-up and delivery of the campus bin and related materials.
- Maintain data in the Campus Pastor report.
