COO Officer is seeking an Assistant to provide day-to-day administrative supporting including calendar management, travel and expense management, meeting scheduling schedule and coordinate meetings/conferences/events, and office communication; as well as strategic support including action item management, task delegation, select meeting take-aways / summaries agendas/minutes/follow-ups/actions items, MS Teams management, and rolling 12-month time capacity and allocation planning. This role also supports the COO Officer in preparation for key events and meetings as well as evolving need of the leader over time.

- Perform complex administrative tasks and analyses to maintain organization, communication, and performance.
- Execute activities for teams or business groups.
- Ensure collaboration with teams or business groups in achievement of divisional goals or objectives.
- Organize senior leaders’ calendar for the day / week / month / year to optimize use of time
THE EXPERIENCE YOU BRING TO THE TEAM
Minimum Required Experiences
- At least 2 years of relevant administration and organizational experience
- Long range capacity planning experience (conferences, town halls, leadership off-sites, etc.)
- Engagement management with teams and stakeholders
- Excellent organization, task and time management skills
- Experience gathering accurate information to explain concepts and answer critical questions
- Experience using Office 365 suite including MS Outlook & MS Planner
- Skilled in using OneNote
- Skilled in Excel
- Experience using SharePoint
- Skilled in SAP Concur
- Experience using scheduling software to book events
- Skilled in Microsoft Teams
- Bachelor’s degree or equivalent
- 4 years of experience
- Working with people with different functional expertise respectfully and cooperatively to work toward a common goal
- Ability to multitask and prioritize tasks in a fast-paced environment.
- Ability to frame and organize ideas as systems and analyzing the inputs, outputs, and process
- Relationship management experience including managing and engaging stakeholders, customers, and vendors, building relationship networks, contracting, etc.
