Office Manager

The Office Manager performs general administrative duties at a professional level, as well as a wide variety of project and estimating related tasks, and actively participates in the day-to-day operations at the regional office. This is a salary role eligible for overtime.

The primary responsibilities for this role will include performing administrative and marketing/estimating/operations support functions, such as the following:

  • Manage/coordinate business calendar(s), including scheduling appointments, arranging meetings/interviews, anticipating needs and prioritizing projects.
  • Coordination of work flow and all relevant paperwork to prepare for meetings, interviews and presentations.
  • Prepare reports, presentation materials and routine correspondence with exceptional attention to detail, accuracy and confidentiality.
  • Screen incoming calls and correspondence and respond independently when possible.
  • Compose and prepare confidential correspondence, reports and other complex documents (using Microsoft Office Suite applications).
  • Compose internal and external correspondence and create/edit PowerPoint presentations.
  • Assist with proposal production and other marketing-related activities, as required.
  • Coordinate and assist with planning off-site events, such as leadership meetings, business development and marketing meetings.
  • Assist with company events
  • Engage in sensitive and confidential matters while protecting the security of the information.
  • Requires discretion and use of judgment. May have regular contact with client executives and government officials.
  • Establish and maintain day-to-day office functions including managing vendors for office purchases, shipping and maintenance
  • Assists with AP/AR coding and entry
  • Able to work in business systems such as Vista
  • Perform additional assignments per supervisor's direction.
  • Because of the current size of the office, this position will provide act as the receptionist and perform these additional duties.
    • Answer incoming calls and greet visitors.
    • Insure that office supplies are ordered and available as needed.
    • Retrieve and distribute mail.
    • Prepare documents and copying for estimating and operations support.
    • Proficient with use of Microsoft Word and Excel for editing documents.
    • Manage all office kitchen supplies and upkeep.

Required Qualifications & Skills

  • A minimum of 5 years experience in an administrative support role.
  • Excellent skills in Microsoft Word, Excel, PowerPoint and Outlook.
  • Ability to effectively present information to top management.
  • Ability to maintain strict confidentiality.
  • Ability to interface with employees, customers and clients professionally.
  • Must be flexible and able to adapt to quickly changing priorities.
  • Proficient self-starter and multi-tasker with the ability to work independently and as a team member.
  • Proficient self-starter, multi-tasker, and problem-solver with the ability to work independently and as a team member.
  • Ability to manage projects and multiple deadlines.
  • Ability to write/create routine reports, charts, presentations and correspondence.
