Description
JOB PURPOSE:
Enhance the daily operations of the entire office by providing excellent service and communication to staff and patients. The Office Manager works collaboratively with owner/lead doctor to oversee the site operations for office collections, staffing efficiency, doctor/hygiene schedules, productions goals and the site culture.
ESSENTIAL FUNCTIONS:
1. OFFICE MANAGER RESPONSIBILITIES:
- Oversee site operations for office collections, staffing efficiency, doctor/hygiene schedules, productions goals and overall site culture.
- Communicate efficiently via email and phone with staff, office managers, doctors and Headquarters.
- Provide proper coaching/training/educating/mentoring to develop staff.
- Conduct verbal warnings, written warnings and terminations as needed.
- Conduct annual performance and wage reviews for all staff in conjunction with site doctor(s).
- Oversee daily tasks by reviewing provider day sheets, over the counter collection sheets, day end reports, and schedules.
- Provide adequate staffing coverage for front, dental assistant, hygiene and doctor vacations, maternity leaves or unexpected absences.
- Maintain site collections at 98% or above and minimize accounts receivables.
- Review staff hours, make changes in timekeeping system, minimize overtime, and submit hours for payroll.
- Minimize delinquent insurance claims and maintain timely insurance submissions and appeals of claims.
- Facilitate monthly site meetings. Ensure information is communicated to the staff from Office Manager and Board meetings.
- Oversee monthly incentive goals and bonuses.

KNOWLEDGE
EDUCATION:
- High School Diploma required
- Associate Degree preferred
EXPERIENCE:
- Requires a minimum of four years of recent (within the last 5 years) front office/support experience
- Requires at least one year of dental experience
- High proficiency with computers and electronic communication preferred
- Dentrix software preferred
