Summary: The Specialist, Government Affairs provides project management and administrative support for the Vice President of Government Affairs; as well as supporting members of the Gov’t Affairs team as directed by the VP-GA. This individual must demonstrate a firm understanding of business priorities and function as a respected, active team member who can work effectively across many levels of the organization. This high-visibility role demands someone who can work independently and with internal and external teams to drive and complete projects. She/he acts with a sense of urgency, takes initiative and is detail-oriented. The ideal candidate is someone who has 3-5 years of business experience and is interested in developing a long-term career in Government Affairs and business. Responsibilities: Administrative support Provides executive-level administrative support which includes scheduling meetings / events, managing calendars, arranging travel and tracking/submitting expenses into Concur and ensuring that the corporate credit card is paid on time. Responsible for Coupa, Adobe sign, Icertis and Department SOW set-up & tracking (& Corp systems). Maintain GA department files including organization charts, team bios, templates, etc. Set up new vendors, track invoices, monitor PO balances. Prepare agenda for Team meetings with input from VP. Prepare and distribute meeting minutes. Other duties as assigned. Manages budget activities Manage and track department budgets. Initiatives Manages and drives projects, as assigned with minimal guidance. Develops project plans, organizes and participates in project meetings. Tracks and reports project progress against agreed milestones; identifies corrective actions if needed. Prepares VP presentations for Executive Leadership Team Meetings. Interacts with external contacts on a regular basis, including at meetings. Government Affairs Organization Researches and helps prepare documents, fact sheets, presentations and other materials used by the GA team on Capitol Hill and in the states. Organizes on- and/or off-site GA meetings, both internal and with external consultants. Tracks and follows up on progress of action items. Deals with legislative office and personnel. Leads all interoffice requirements regarding DC office set-up and on-going requirements. Washington Office Management Acts as receptionist to the office, always presenting a professional demeaner. Leads all interoffice requirements regarding office supplies and identifies and interacts with vendors for items such as coffee, tea, water, etc. Main point of contact with building management and Ferring IT/telephony. Serves as contact point for ATOS and IT services. Provides recommendations for actions. Budget and lease requirement awareness and tracking. Government - U.S. coordination and tracking Liaises with U.S. key internal departments e.g. Compliance / Marketing / Mkt Access. Work with the responsible Admin locally & Global Headquarters. Organizes on- and/or off-site U.S. Team meetings. Tracks and follows up on progress of action items. Deals with vendors, suppliers and staffers. Leads all interoffice requirements regarding team tracking, attendance & requirements. Sunshine Act tracking for Gov’t Affairs. Compliance tracking for Government related items. AOB or projects at the request of the VP, Government Affairs. Requirements: Excellent project management skills and the ability to handle multiple, competing projects simultaneously to meet tight deadlines. First-rate written and verbal communication skills; ability to communicate effectively across the organization. Ability to influence and work well with individuals at different levels of the organization. A keen eye for details. Office management and administrative experience a strong plus. Demonstrates strong interpersonal skills and a high degree of professionalism. Takes initiative and anticipates the needs of the executive. Detail oriented and very organized. Displays integrity; safeguards confidential information. Computer Skills: Proficiency in Microsoft Office Suite, especially with PowerPoint and spreadsheets.
