What are the responsibilities and job description for the HR Assistant position at Finlays?

LOCATION:                           Providence, Rhode Island

DESCRIPTION:

Perform day-to-day management of administrative and operational functions to include, office administration, HR, and visitor reception.  Provides support to employees, HR team and other departments, assisting with general administration, regarding benefits, payroll, training and development, legal and other human resource related matters.

 

ESSENTIAL DUTIES: 

  • Assist in recruitment /staffing to include interacting with applicants and scheduling interviewing. 
  • Maintain employment files for active and inactive employees via HR system.
  • Process and maintain I-9s and E-Verify, to ensure timely processing and compliance.
  • Partner with HR Team, to understand company processes and guidelines to assist in responding to employee questions.  Ensure processes and transactions are consistent and efficient.
  • Maintain applicant flow and internal job postings.
  • Maintain employee records and assist with new employee onboarding procedures.
  • Handle sensitive information, maintaining confidentiality.
  • Review pre-employment background checks and drug screens.
  • Scheduling of appointments, venues, and travel.
  • Answers telephone, relays messages, and maintains equipment and supplies.
  • Maintains quality service by following organization standards.

QUALIFICATIONS:

  • Excellent organizational skills, and the ability to work well with people at all levels within the company.
  • Ability to organize a daily workload by priorities.

  • Have a proactive approach to problem-solving with strong decision-making skills.

EDUCATION/EXPERIENCE:

  • HS Diploma, GED or equivalent required.  Associate’s or bachelor’s degree in Business or Human Resources preferred.
  • 3-5 years of experience in Human Resources, with recruitment experience
  • Bilingual (English/Spanish) preferred.
  • Outstanding interpersonal and customer service skills.
  • Working understanding of human resource principles, practices, and procedures.
  • Ability to function well in a high-paced environment.
  • Proficient with Microsoft Office Suite or related software.

  • Shows an ability to inquire in an objective and sensitive manner into existing traditional and often well-established norms of operation, promoting change, where found to be necessary through a fully transparent, consistent, and inclusive change process.

 

ACCOUNTABILITY

  • Responsible for consistently maintaining safe quality food products by following good manufacturing practices, allergen controls, food defense, HACCP, SQF, and regulatory requirements.
  • Ensuring visitors, contractors and customers are documented on each visit in and out of the facility to maintain good manufacturing practices, allergen controls, food defense/food security and HACCP controls.
  • Responsible for immediately reporting all food safety and quality issues to management.
  • Responsible for partnering with others, sharing knowledge, skills and information within assigned team and across functional areas. 
  • Ensuring all safety work practices are adhered to.
  • Exhibit an understanding of quality standards and the ability to speak to Finlays quality systems.
