Position Summary:

The Claims & Download Specialist is responsible for taking and entering claims from clients, claimants and carriers. Works closely with Agents and Personal Lines and Commercial Lines Account Managers to expeditiously report claims to the proper carrier. Provide quality service that demonstrates our Trusted Advisor strategy to all internal and external customers. This position will also be responsible to review and assignment of daily downloaded P&C Policies, EDocs and Claims.

Duties and Responsibilities:

  • Accurately take initial claim information from various sources focusing on detailed information that will expedite the claim process with minimal client friction.
  • Provide contacts for emergency repairs such as contractors and body shops.
  • Enter claims in agency management system and submit First Notice of Loss to carrier(s) when appropriate.
  • Order police reports when necessary and submit estimates/receipts when to adjuster and/or carrier(s).
  • According to agency procedures follow-up with client to verify contact from adjuster has been received.
  • Responds in a timely manner to inquiries/requests varying in complexity and executes a resolution through the appropriate decision-making process; escalating to management when necessary.
  • Professionally communicate and consult with clients through verbal and written correspondence that contributes to the satisfaction and retention of account.
  • Record and/or validate (download) claim payments are accurate in agency management system.
  • Close claims upon notification from carrier(s).
  • Review the daily Communications Log for any errors and works with Ivans or Applied Epic to correct download issues.
  • Assigns policies, edocs and claims that come into suspense on a daily basis. Work with Commercial and Personal Lines service teams to determine why items are in suspense and get them corrected so that download can be properly assigned. All download should be assigned and cleared by noon of the day that it is received.
  • Responsible for system setup of new companies or lines of business that begin download or changes in setup that need to be made in the agency management system.
  • Attends agency and department meetings, educational training and development courses, carrier functions, and social events.
  • Knowledgeable of and adopt changes to insurance compliance rules, agency procedures, processes and workflows;
  • Complete other duties as assigned.

Education, Certification, License and Experience:

  • High school graduate or equivalent required
  • Property and casualty license preferred – required after employment.
  • CPCU, CIC, or CISR – Preferred but not required.
  • 1-3 years minimum insurance experience in Personal Lines and/or Commercial Lines Insurance recommended but not required.
  • Compliance with Continuing Education requirements for licensing and/or designations.

Skills and Knowledge:

  • Capable of gaining a thorough knowledge and understanding of the agencies’ products, services, policies and procedures
  • Knowledge of carriers’ products and available coverages
  • Overall general knowledge of the insurance industry.
  • Excellent computer, interpersonal and customer service skills including utilization of agency management system. Knowledge of the Applied Epic system is preferred.
  • Ability to effectively collaborate with others
  • Pays high attention to detail; strong analytical, problem solving and critical thinking skills.
  • Highly motivated, goal oriented and organized individual that is driven to achieve individual, department, and agency goals.
  • Responsible for knowing and ensuring compliance with applicable laws, regulations and guidelines, as detailed in policies that include but are not limited to Bank Secrecy Act and other applicable anti-money-laundering rules, Right to Financial Privacy, Fair Lending, Community Reinvestment Act, Gramm-Leach-Bliley Act, and other laws and regulations as they pertain to the position.


Work Environment:

This job operates in a professional office environment. Work is normally performed in a typical interior work environment which does not subject the employee to any hazardous or unpleasant elements.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to speak or hear, stand or sit for long periods of time, open filing cabinets, walk, stoop or bend, use hands to handle or feel and reach with hands and arms. The employee must frequently lift and/or move up to 10 pounds, occasionally lift and/or move up to 25 pounds and complete tasks requiring manual dexterity. Ability to drive a vehicle for travel is required for the position.
