Job Responsibilities:
- Review critical information previously abstracted from leases into Tririga (lease management system) for accuracy on all new and relocated Five Below locations
- Evaluate/analyze co-tenancy clauses in the lease for all new/relocated stores and compare to landlord’s roster/site plan for violations; contact the landlords with any disputes and follow through to completion, ensuring we have documentation of such resolutions/agreements; record all cost savings in department log
- Perform set up of co-tenancy system for all new and relocated stores to use in our recurring evaluation of the shopping center’s health/co-tenancy status to include a listing of all tenants/spaces in the shopping center with square footage data, co-tenancy requirements/rules as defined in the lease (translated as required to meet system entry requirements) and current site plans
- Perform quarterly co-tenancy surveys, evaluate/analyze the results of each survey, update the co-tenancy system as required and dispute any violations with the landlords until resolution
- Perform reviews of our exclusive and restricted use clauses to identify any potential violations and/or opportunities for rent reductions or leverage in lease negotiations
- Evaluate/analyze Initial invoice to confirm lease terms have been applied correctly, critical dates have been calculated accurately and rent amounts/calculations are correct; assist with follow through on all disputes on the initial invoice until resolved, ensuring we have documentation of such resolutions/agreements; review updates to Tririga ensuring the settings are accurate for lease accounting calculations; record all cost savings in department log
- Evaluate/analyze landlord statements/invoices, as needed, to ensure compliance with lease terms and dispute any non-compliant charges by citing specific lease clauses or historical agreements on same/similar issues; ensure updated documentation is received to support all agreements made in the resolution of such disputes
- Assist with review/analyzing of square footage variances between the lease and our architect’s measurement, dispute the size with landlords and obtain required lease amendments when a change is required
- Evaluate/review possession dates to ensure agreement between landlord and construction team, identify delays in possession and calculate the corresponding rent credits for such delays as defined in the lease
- Create/Review Term Commencement Letters for landlord/tenant signature confirming critical dates/terms for all new and relocated leases
- Identify and communicate lease contingency requirements to the team to ensure all terms of the lease have been met
- Work closely with outsource team to assist with reconciling accounts by analyzing the landlord’s ledger, identifying incorrect billings and/or misapplications of prior payments, maintaining detailed documentation on all disputes and following up on all issues until resolved
- Evaluate default notices received, research items identified in the notice and work with landlords to resolve any outstanding issues
- Process any landlord insurance requests, as needed, through our insurance company and report any customer accidents which occurred in the common area to landlords for handling
- Maintain/update lease management system with current landlord contact information, rent payment and notice address information as required
- Communicate with cross functional departments regarding lease and financial information
- Assist Manager with any special projects
Qualifications:
- Bachelor’s degree from four-year college or university or relevant work experience
- At least 2 years of accounting, bookkeeping or commercial real estate experience in lease administration
- Excellent mathematical skills with ability to calculate figures such as rent, percentage rent and rent adjustments
- Highly detail oriented with critical degree of accuracy regarding data entry and analysis
- Proficient in Microsoft office; Advanced knowledge of MS Excel
- Ability to prioritize and manage multiple project tasks within a fast-paced, dynamic work environment
- Capable of trouble-shooting issues with logic and ease
- Ability to communicate effectively with cross-functional teams
