Summary
The Wine Club Coordinator will work with the DTC team to take the Folktale Wine Club to the next level. The primary responsibility for this role is to provide exceptional customer service to our members and assist with increasing memberships and e-commerce sales. The Wine Club Coordinator will work with the DTC manager to create a variety of programs to strategize new memberships and marketing opportunities to encourage sign ups and retention in wine club memberships. This role will also facilitate and promote clear communication between the Wine Garden Educators, DTC team members, and Wine Club Members.
Essential Duties and Responsibilities
- Provide outstanding internal and external customer service.
- Answer the general phone line and assist with inquiries from reservation needs or changes or connecting guests to appropriate departments.
- Responding promptly to all telephone and email inquiries from Wine Club Members to ensure brand loyalty.
- Assist with entering weekly wine club sign up and updating commissions sheet, C7, and sending out welcome letters.
- When possible, greet Wine Club Members in the Wine Garden as well as table touch with all guests to ensure wine club questions regarding wine club are clarified.
- Assist with training and increasing wine knowledge in the Wine Garden and keeping Wine Garden staff informed.
- Assist the DTC Manager with planning Wine Club events.
- Assist with developing and managing the club release calendar.
- Update credit cards and account information prior to shipment, handle customer special requests, follow up on shipping issues, declines, tracking & returned packages, and assist members with accessing their member portal.
- Database management for Wine Club: new member entry, changes to account information, cancellations, and pickups.
- Assist with implementing ideas to retain existing Folktale Winery club members through customer engagement, consistent follow-up and outstanding customer service, resulting in increased sales and longevity of membership.
- Help process and coordinate all web orders and phone orders including fulfilling orders, preparing shipping labels, ensure shipping to out-of-town members and pick up for local members.
- Facilitate the quarterly shipments, ensuring all wine is received correctly, and in a timely manner.
- Assist Wine Educators with packing the first shipment for new club members..
Requirements
Position Requirements
- Passion for wine and hospitality
- Excellent phone and email etiquette
- Experience with Commerce 7 and Tock a plus
- Sophisticated knowledge of wine and winery operations wine an advantage
- Self-starter, clear communicator, multi-tasker, highly organized
- Effective salesperson
- Must be 21 years of age
- Ability to lift 55 pounds repetitively
- Must be available to work weekends, holidays, and events
- Must be a team player who can work efficiently in high volume, fast-paced situations
- Must be flexible and able to deal with frequent interruptions, possess the ability to adapt to the Company’s frequently changing needs and priorities
Physical Requirements
- The ability to work in a standing position for long periods of time (up to 8 hours), walk, sit, reach, bend, stoop, climb, frequently lift up to 35 pounds, and occasionally lift/move 50 pounds is required.
- This position also requires continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills, and the ability to clearly speak, hear, see, and adjust focus.
