Fundraising Manager/Database Administrator

Position Summary

The Food Bank of South Jersey (FBSJ) is seeking a qualified, full-time Fundraising Manager/Database Administrator to strengthen the fundraising operations of Fund Development department teams. Reporting to the Senior Director of Grants and Mission Advancement, the Fundraising Manager/ Database Administrator is responsible for actively assisting the fundraising team through the identification of funding opportunities, maintaining the accuracy and integrity of Salesforce data entry which includes individual gifts, campaign and grant entries and maintenance.

Fund Raising Functions

  • This position offers a unique opportunity to a person who understands the entire fundraising cycle – from identification of prospects, aiding in the solicitation of gifts to active prospect follow up. Preference will be given to a candidate who possesses and utilizes this skill, in addition to database management. Daily activities will include
  • Providing well researched reports on institutional constituents, and donor profiles as discovered or identified by the FD Team
  • Ongoing support as needed in the identification of and initial qualification research for individual and/or institutional prospects
  • Present an ongoing series of vetted prospects to the FD leadership team for cultivation
  • Actively participate in the cultivation process, to reach Fund Development budgeted goals
    • Effectively steward potential donors for ‘closing’ by FD Sr. Managers.
    • Participate in custom cultivation strategy sessions
  • This position also retains primary responsibility for the maintenance of a Grants Management database focused on institutional grantors. Ensures the accurate and efficient entry of historical as well as current data related to institutional constituents, grant proposals and reports, supporting institutional prospect research, cultivation, and ongoing stewardship through the Salesforce database. In addition, this position may be called upon to assist in the writing of occasional grant proposals/reports as needed to support team goals.
  •  Ensures awarded grants are properly matched and recorded in the NetSuite and Salesforce      databases; collaborates often with the donation processing team to improve the efficiency and effectiveness of the gift processing process, as it relates to institutional support
  • Uploads Award Announcement & Guidance Documents (AAGDs) into NetSuite to aid the Grants and Finance/Accounting divisions in support of accurate tracking for grant funding and expenditures
  • Attends staff meetings and trainings as required or requested

Database Administrator Functions

  • Provides database management and gift processing support for the Fund Development department; working collaboratively with the Data & Donor Relations Coordinator, Sr. Manager of Grants, and Resource Coordinator to ensure accurate and timely data entry
  • Processes all grants, monetary gifts, in-kind donations, pledges, and other donor-related transactions into the Salesforce database within a 72-hour window of receipt.
  • Scan and/or log donor call information and key correspondences in Salesforce; updating organization and household account records as necessary
  • Remain current regarding Salesforce campaign activity, inclusive of campaign launch and expiry dates for proper gift coding
  • Attend all applicable Salesforce, Grants, Fundraising and database management meetings; virtually and in-person as required and/or needed

Minimum qualifications & Requirements

  • Minimum of (5) five years related experience, working with a non-profit fundraising database or CRM. 
  • May be trained to use data management tools.
  • Advanced proficiency with Microsoft platforms and experience or expertise in donor databases; ability to communicate complex data issues accurately and concisely
  • Demonstrated knowledge of the principles and practices of nonprofit fundraising and marketing, donor stewardship, database assistance, records management
  • Ability to handle sensitive information in a confidential manner
  • Excellent analytical and organizational skills; including the ability to prioritize and manage multiple tasks and meet deadlines
  • Flexible approach to work and the ability to work in a fast-paced environment
  • Bachelor’s degree preferred
  • This position is an onsite position, reporting to FBSJ Headquarters at 1501 John Tipton Boulevard, Pennsauken, NJ.
