Summary
Freeman’s Design department consists of creative, detailing, floor planning and design management. The Associate Design Producer is an internal-facing role that focuses on project coordination, resourcing and assisting team leaders with administrative duties. This position is responsible for implementing processes across a wide range of project types including virtual and live events, (e.g. conventions, conferences or trade shows) and spans across all aspects of design from initial project scoping, to defining schedules and maintaining team communication through debrief and project close-out. While working alongside Resource Management, the Associate Design Producer will have a number of tools and processes to follow however this position requires a high level of initiative and problem-solving ability.
Essential Duties & Responsibilities
Project Responsibilities
Assists in the implementation of processes and standards developed by the Design Leadership team to drive milestones, timelines and project plans.
Responsible and accountable for monitoring all levels of design, detailing and floor plan projects, including timeliness of each assignment and alignment to agreed upon scope.
Continually manages project expectations with team members, sales and other project stakeholders by monitoring progress against the plan, escalating problems and issues that impact cost, scope or schedule.
Sets up and maintains projects in Freeman’s project management software.
Works with sales and operations staff to negotiate deadlines for design deliverables that are best for business.
Checks and validates job numbers, forecasted revenue, show opening dates and project status.
Balances multiple projects in a deadline driven environment.
Resourcing Responsibilities
Responsible for resource assignment of floor planning, design and detailing roles on small to large, complex, multi-phased projects.
Coordinates with the Design Production and Operations group including the Resource Manager, Design Producers, Detail and Floor Plan leads to monitor the work schedule and bandwidth of resources at multiple locations.
Utilizes resourcing capabilities to assign incoming projects, coordinating collaboration stages within the department and other departments for efficient workflow.
Assists Resource Manager in contracting work with contingent resources.
Administrative Responsibilities
Schedule and facilitate internal Freeman team meetings as required.
Monitors time entry and follows up with employees who are behind with entry, exceeding hours or underutilized.
Strives to innovate process and procedures which improve design value, efficiency and all the while reducing costs.
Perform other duties as assigned.
Education & Experience
Related degree from a four-year accredited college or university is preferred, but not required.
2 to 4 years’ experience in resourcing, coordination and/or project management within the design industry. Preferably in live events, experience design, interior design and/or architecture.
Experience with various projects types, including live event, consumer marketing, web, virtual, video, brand, and strategic consulting.
Must have the ability to think quickly under pressure, as well as motivate and engage the team to produce the best possible results.
Excellent problem solving and challenge resolution skills.
Uses passion and self-motivation to prioritize, schedule, and manage timely executions of project assignments.
Diplomacy & tact in challenging situations and in dealing with many personality types and working styles.
Proven computer skills in all MS Office programs.
Expertise in Workfront is preferred, but not required.
