We’re seeking an Office Manager to join our team at Fremont Motor Company.

As an Office Manager, you'll process and generate financial data for all dealership departments, representing the business's accurate financial condition. You'll also provide accurate reporting to the dealer/general manager responsible for the accounting office and administrative functions.

Responsibilities

  • Maintains a professional relationship with associates.
  • Accepts responsibility for job performance daily.
  • Relies on experience and judgment to plan and accomplish goals.
  • Essential Duties include the following. Other duties may be assigned.
  • Hires, trains, and supervises office personnel.
  • Analyzes and organizes office operations and procedures.
  • Prepares a complete financial statement monthly according to dealership guidelines and the manufacturer's format and time frame.
  • Controls all posted documents, including time records, vehicle deals, commissions, additions, and inventory changes.
  • Prepares daily bank deposits and cash reports.
  • Maintains an effective cash management system. Forecasts cash needs.
  • Controls petty cash amounts for dealership and sales department.
  • Provides a timely daily operating control (DOC) and keeps the dealer/general manager informed about trends.
  • Reconciles select accounts monthly.
  • Approves adjustments to inventory and receivable accounts.
  • Ensures that all manufacturer accounts, including warranty claims, rebates, interest, protection, and co-op advertising accounts, are current and accurate.
  • Prints monthly journals, schedules, and general ledger.
  • Closes month by processing accounting month-end.
  • Participates in the preparation of short- and long-term forecasts.
  • Assists in the completion of annual review/audit.
  • Ensures compliance with all government regulations.
  • Prepares payroll on a timely basis, posts payroll, and maintains payroll records.
  • Prepares tax reports, deposits, and returns in a timely, accurate manner.
  • Prepares employee health/life benefit payments.
  • Stays abreast of current factory incentives and accordingly codes deliveries on the dealership computer system.
  • Prepares sales commission/chargeback detail reports.
  • Manages the payoff of the vehicle floor plan and works with bank representatives.
  • Approves new charge accounts and oversees the collection of past-due accounts.
  • Compiles information and prepares reports as requested by management and/or dealer principal.
  • Cross-trains a qualified substitute.
  • Processes paperwork for new employees and terminations.
  • Keeps an updated file of all dealership job descriptions.
  • Maintains confidential employment files as required by Human Resources.
  • Maintains a professional appearance.
  • Attends managers' meetings as requested.

Qualifications

  • Must maintain a positive work atmosphere by acting and communicating in a manner indicative of the Fremont philosophy that encourages relationships with customers, co-workers, and other dealerships.
  • Attendance is an essential job function for this position.
  • The individual must also have a valid driver’s license and the ability to be insured under Fremont’s insurance plan.
  • Understanding of the automotive industry.
  • An enterprising individual who can start and carry out projects.
  • Excellent organizational, problem-solving, planning, and decision-making skills.
  • Excellent interpersonal skills.
  • Must possess excellent oral and written communication skills.
  • Confidentiality.
