What are the responsibilities and job description for the Sr. Real Estate Assistant position at FRESENIUS?
PURPOSE AND SCOPE:
Support the Leasing group Directors and their respective teams consisting of De Novo, Lease Renewals and Lease Administration groups. Assignments requiring judgment in resolving issues and/or in making recommendations, interfacing with various departments and levels across the organization as well as external partners/customers. Attention to detail and accuracy in work are critical with the ability to problem solve and troubleshoot.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Under limited supervision, deliver a broad range of administrative support that may include details of a sensitive and confidential nature.
- Must be a motivated self-starter that is capable of identifying, investigating and collaborating with others in order to find solutions and resolve issues and challenges..
- Prioritize multiple tasks in a fast-paced working environment, and utilize well-developed organizational and communication skills with both internal and external contacts.
- Perform standard administrative functions such as scheduling meetings, maintaining the calendar, coordinating travel arrangements, drafting and submitting expense reports, receiving and processing mail and ordering supplies.
- Planning and Coordination of Monthly Department and other meetings.
- Manage and track the Invoice Payment Process cycle from invoice receipt through vendor payment.
- Manage the Lease Amendment execution process utilizing DocuSign.
- Processing Option Notice letters, including certified mail and proof of delivery documentation management.
- Distribution of Leases and Lease Amendments.
- Ordering, tracking and management of Fair Market Value and Property Conditions Assessments..
- Computer proficiency with Microsoft Office Suite, specifically Outlook, Word, Excel, SharePoint and PowerPoint required.
- Must possess the ability to learn and become proficient in company utilized software programs such as QuickBase, Lucernex, PEACE, Dropbox, DocuSign, Basware and MS TEAMS.
- Develop and manage various spreadsheets to track department specific activities, such as Internal administration fee tracker, NRL tracker and invoice tracker.
- Responsible for Onboarding Contracted employees. Assist with Onboarding of FTE, including IT equipment, Phone, Access to programs and apps etc..
- Handle basic to moderate issues; refer more complex issues to direct supervisor or team lead for resolution.
- Assist with various projects as assigned by direct supervisor.
- Review and comply with the Code of Business Conduct and all applicable company policies and procedures, local, state and federal laws and regulations

EDUCATION:
• High School Diploma required; College Degree desirable.
EXPERIENCE AND REQUIRED SKILLS:
- Minimum 3 – 4 years’ related business experience.
- Must be a positive, self-starter with great organizational and problem-solving skills.
- Ability to work independently with minimum of supervision.
- Relevant experience in a fast paced, multi-project, operational environment.
- Working knowledge of business and technical vocabulary.
- Familiarity with concepts, practices & procedures within real estate field or similar.
- Ability to employ basic reasoning skills.
- Proficiency in computer software such as spreadsheet, presentation, database programs.
- Strong interpersonal skills with the ability to communicate (verbally and written) with considerable tact and diplomacy.
- Ability to exercise considerable discretion and judgment when resolving issues, making recommendations, and interacting with clients.
- Analytical, data interpretation and problem solving skills.
- Ability to multi-task and meet tight deadlines in high volume environment.
- Detail-oriented with strong organizational skills.
- Self-motivated with aptitude to work independently and as part of a team with a positive attitude.
