This position supports farm operations, production team, and all of our staff by managing data collection, use and storage through various platforms including Excel, Google Docs, Google Forms, Google Sheets, Square, Routific and Local Food Marketplace. The Information & Systems Manager supplies and maintains the framework to provide our team with the information they need, when they need it, to get the job done.
After training, some work may be able to be done remotely. May require some evening hours and flexible schedule to meet production schedule. Approximately 35-40 hours per week.
JOB DUTIES:
-Ensure accurate invoicing, order fulfillment, delivery and billing for all orders with the support of our team.
-Producing packing slips and labels for packing days
-Daily updates of harvest sheet
-Routing delivery drivers, tracking costs of route management and reporting quarterly on delivery program performance
-Creating invoices for farmers markets (five markets per week)
-Updating and reviewing our Calendar and Dashboard, scheduling delivery drivers
-Updating and creating new monthly electronic log forms and sharing with all staff
-Verifying and reconciling daily log and time card hours for staff, preparing information to be submitted for biweekly payroll
-Logging your own work and hours daily
-Work with other staff to provide materials, documents, information needed to complete projects
-Keep a calendar and log of renewals for annual licenses and permits and equipment maintenance
-Supervise Administrative Assistant and serve as on-site representative for regulatory agencies including Health Department, water testing, etc. if owners are not on site.
-Communicate with staff as needed throughout the day to ensure our goals are met (in person, and by text, phone and email)
-Participate in on-farm special events (usually on weekends) two to four times per year
REQUIREMENTS:
Proficient in Excel and databases, including pivot tables, vertical lookups.
Ability to learn new software and programs relatively quickly
Exceptional attention to detail and follow-through
Ability to plan ahead, use calendar reminders, and anticipate issues with routing and deliveries to prevent problems
Ability to balance multiple goals and priorities throughout the day
Self-motivated, ability to work with a team and independently
Positive attitude
Ability to succeed in a dynamic environment and adapt to changes
Ability to problem-solve time sensitive issues
At least three years of administrative assistant or office manager experience in a fast paced environment.
Ability to work successfully with people from diverse backgrounds.
Ability to communicate effectively and professionally with all team members and customers: in person, on the phone, text message, and in email.
Bilingual in Spanish is preferred, but not required.
Experience with handling cash and personal information in a careful and secure manner.
Job offers are contingent upon satisfactory completion of a background check.
Valid driver’s license and authorization to work in the U.S.
Ability to represent the business in a professional and positive manner
Experience with Google Docs, Gmail, and generally tech-savvy
Interest in making a positive impact on environmental and social issues
