LOCATION: PASADENA, CA (FULL OR PARTIAL REMOTE CONSIDERED)
REPORTS TO: FULLER EQUIP OPERATIONS MANAGER
Brief Description and Background:
This individual provides administrative support to the operational activities of FULLER Equip leadership and staff. The administrative assistant brings a focused, organized, and disciplined approach to supporting the work of Equip in our strategy of empowering leaders at scale through premier digital, research-based, formational experiences that catalyze demonstrable Kingdom impact.
Essential Functions:
- Provide administrative support to Equip leadership, including scheduling meetings, note-taking, managing travel itineraries, and planning events as requested
- Plan, organize, and schedule team meetings occuring in the office and on video
- Receive and track relevant paperwork and electronic documents, including new agreements and memoranda of understanding (MOUs)

Coordinate and provide customer service by responding to inquiries within 24 hours and identifying long-term and scalable customer service solutions, including:
- Support new users onboarding to Equip, including coordination and troubleshooting as needed with Fuller ITS
- Capture, track, and recommend solutions for common issues and Equip-related bugs sent from users and partners
- Support financial transactions and processes, including tracking and processing of invoices, grant payments and reports, check requests, author and contractor payments, reimbursements, credit card reclassification, and analyses of Equip sales
- Serve as the eyes and the ears of the office, providing information, answering questions, and responding to requests from colleagues, users, and partners
- Manage hospitality and travel arrangements for events as needed
- Other administrative and logistical duties, as assigned
Knowledge and Skills Required:
- Minimum 2 years of administrative experience
- Superb written and verbal communication skills.
- Ability to multitask and manage time well.
- Strong computer skills, with competence in Microsoft Word, Excel, PowerPoint, Keynote, Gmail, Google docs, Google calendar, Google Analytics, Excel/Google Sheets, and metrics dashboards
- Works well under pressure and can manage pressing requests and situations, including ability to prioritize multiple tasks
- Comfortable with ambiguity, and ability to bring clarity as needed to move forward with problem solving skills
- High attention to deadlines, accuracy, and details
- Ability to work effectively both independently and as a member of a team
