Job Description:
We are currently seeking an office administrator to fill a key role within our organization.
Qualifications:
Must have project coordination experience or have worked in a similar role.
Ability to manage multiple priorities and resources in a dynamic environment across various projects and organize complex information.
Must possess initiative with strong analytical, problem-solving, and anticipatory skills.
Strong decision-making skills.
Excellent verbal and written communication skills, including the ability to effectively communicate with internal team members as well as external clients.
Need's to be extremely comfortable being on the phone and following up with employees for the necessary documentation. It's a high-volume, fast-paced position that requires a lot of phone time.
Must possess excellent MS Office skills.
Must display great attention to detail and be extremely organized.
Responsibilities:
Must be able to manage office work using office systems and procedures, ensuring that work flows smoothly, meeting deadlines, and solving problems.
Handle compliance items including company insurance requests, supplier portal management, and state licenses.
Tracking project expenses
Work on multiple projects simultaneously, set priorities for completion, and follow up on assignments.
Process and log all incoming and external faxes, deliveries, and incoming and outgoing UPS, USPS and FedEx packages and mail.
Stock and maintain office supplies in all copy areas, including envelopes, post-it notes, pens, pencils, highlighters, notebooks, and copier paper (copy, bond, and letterhead).
Perform conference room setup and hotel, car, and flight bookings.
Coordinates employee relations tasks and events, such as outings, luncheons, and gift cards for recognition items.
Must be computer literate and proficient in Microsoft Office products.
Flexibility to take on work as needed.
Excellent communication skills are needed.
