Overview

Gallagher is seeking a Stock Plan Administrator to join the Global Equity Compensation team. This is a highly visible, fast paced, employee-facing role for a candidate that is a driven, enthusiastic, and very detail oriented. The Stock Plan Administrator will provide daily operational and administrative support of the company’s equity compensation plans, including restricted stock units, stock options, performance units and multiple global Employee Stock Purchase Plans. They should demonstrate expertise, accuracy, partnership, and collaboration with stakeholders.

  • Assist with the day-to-day, end-to-end administration of all aspects of the company's global equity compensation plan and ESPP plans.
  • Maintain database integrity ensuring accuracy of employee data contained in the stock administration software.
  • Maintain confidentiality of all plans and awards.
  • Assist with the administration of our global Stock Purchase Plans including employee eligibility, distribution of ESPP election changes to global payrolls, reconciliation of contribution data from payrolls before each purchase, reporting of enrollments and purchase data to global payrolls, quarterly dashboard reporting and processing of quarterly stock purchases.
  • Monitor Equity Compensation mailbox and provide excellent customer service in responding to employee inquiries regarding login and account information, website navigation, grant acknowledgement, ESPP enrollment, option exercise/stock award vesting inquiries, W-9 certification and other frequently asked questions.
  • Assist with creation, issuance, and audit of grants. Ensure all forms of equity compensation are administered in accordance with the terms and conditions of the plans from which they are granted.
  • Ensure that all equity transactions including grants, exercises, distributions and cancellations are accurately processed, settled and tracked in an efficient and timely manner.
  • Support efforts to ensure compliance and fulfill reporting needs along with internal teams such as HR, Finance/Accounting, Payroll and Legal.
  • Assist with monitoring U.S. and international withholding and reporting requirements to ensure compliance with each jurisdiction's rules and regulations.
  • Handle the data management and integrity of equity plans between systems and providers, including overseeing data transfers, troubleshooting issues, and engaging with partners.
  • Generate recurring reports (monthly, quarterly, annually) and respond timely to ad hoc data requests from business partners in HR, Finance/Accounting, Payroll and Legal.
  • Help develop materials and communications to assist with employee education.
  • Assist in efforts to continue to streamline the stock administration function, including improving and introducing additional best practices with effective controls, automate routine work streams and paperwork processes to better enable efficient, accurate and timely processing of stock administration matters and reports where possible.
  • Perform other duties as assigned.

Qualifications

Required: Bachelor's degree and a minimum of 3 years relevant experience required. Experience in a customer facing role required. Ability to operate independently. Demonstrated knowledge of Microsoft office products, particularly Excel, required.

Preferred:

  • Prior experience working with Fidelity’s Plan Sponsor WebStation (PSW) in an outsourced environment.
  • Minimum 3 years’ experience in Stock Administration for a publicly-traded company
  • Prior experience in administering a global employee stock purchase plan preferred
  • Outstanding attention to detail and organization skills
  • Advanced level experience with Microsoft Excel
  • Must be able to communicate effectively and in a concise manner, both verbally and written
  • Demonstrated ability to manage competing priorities, adhere to tight deadlines, and build/improve processes
