Under general supervision the Tour and Events Coordinator participates in the scheduling, planning and coordination of winery events and tours of winery properties. Provides support for Trade and DTC planning: organizing Trade, community and employee events that are winery-based.
What You Will Do
- Responsible for responding to the Hospitality Inbox requests, assists with scheduling, and assigns events to team members for processing.
- Plans and coordinates smaller scale events for Trade while managing 10 calendars and multiple database systems. (SalesForce, Cellarpass, TOCK, SAP/Ariba, Expense Express, Teams Channels, Sharepoint)
- Through multiple communications with Sales Requestor, identifies level of guests and curates experiences accordingly.
- Responsible for booking catering using internal and external vendors. Updates spreadsheets for tracking and alignment.
- Coordinate transportation, florals, linen rentals, offsite dining, internal tasting room bookings, gift bags, or special take away items for the event.
- Prepares and completes itineraries and sends to all stakeholders including spokespersons, brand management teams, wine ambassador and hospitality staff.
- Creates customized confirmation letters and maintains all communications with the main guest with visibility to the Sales Requestor.
- Responsible for managing event expenses and accounting. Creates expense record through Salesforce.
- Upon event completion, responsible for closing out invoices in Ariba, Purchasing Card Coding up to 50 expenses each month, sends out final invoice Sales Requestor and Finance to chargeback in monthly chargeback system.
- Uses 8x8 Phone System call center to manage calls and assist with tasting room reservations as applicable.
- Assists in Wine Shop (as needed)
What You Need
- High school diploma or State-issued equivalency certificate plus 2 years hospitality, catering, event planning, event marketing, planning/scheduling, customer service, public relations, administrative support, or retail sales experience reflecting in increasing levels or responsibility.
- Required to be 21 years of age or older.
- Candidates for this position must have a valid driver's license and safe driving record. Required to obtain a California's driver's license or appropriate states driver's license within 30 days of hire.
- Required to prosses distance vision, color vision, peripheral vision, and depth perception.
- Required occasionally lift and move cases of product and event equipment weighting up to 45 pounds.
- Required to work at functions taking place in the evening and on weekends.
- Skilled in the use of MS word, MS Excel at an intermediate level.
- Required to travel to company offices, sites, and/or meeting locations for onboarding, training, meetings, and events for development, department needs, and business delivery up to 5% of the time, with or without reasonable accommodation. This may be in addition to travel requirements, if applicable, as listed in this job description.
- Required to be 18 years or older. This may be in addition to other age requirements, if applicable, as listed in this job description.
What Will Set You Apart
- Bachelor's degree plus hospitality, catering, event planning, event marketing, planning/scheduling, customer service, public relations, administrative support, or retail sales experience reflecting in increasing levels or responsibility.
- Knowledge of Wine Industry.
- Experience in multi-tasking and effectively communicating with a broad scope of customers, vendors, and management.
Compensation:
- Hiring Salary Range Posted: $21.44 - $28.94/ hourly
- Actual compensation paid within the range will be determined by factors such as the education, experience, knowledge, skills and abilities of the applicant, internal equity, and alignment with market data.
