Reporting to the Controller, Galt Foundation’s Payroll Manager is responsible for field and core staff time entry and payroll, client invoicing and collections for all branches.  In this role you will create a seamless service experience for all employees and clients in performing all payroll-related functions.  You will ensure Galt remains in compliance with payroll, privacy, and other regulations as an employer of record (EOR) to over 750 field staff across the country.  This is an exempt and remote position.

ESSENTIAL DUTIES:


  1. Time entry & payroll
  • Manage the collection, review and input of employee time and expenses for field staff on placements with Galt Foundation’s clients
  • Oversee receipt of approved time for all field staff, following up as necessary to ensure time and approvals are received on timefor weekly payroll processing 
  • Oversee and review paycheck payments and account reconciliations
  • Manage and process core biweekly staff payroll
  • Manage and respond to orders of garnishments and prepare requests for payments as required by law
  • Ensure that payroll is processed in a consistent, accurate and timely manner
  • Track and follow-up on any stop-payments and/or direct deposit rejections 
  • Review requests for paid time off to ensure requests meet statutory requirements and Galt’s PTO policies
  • Calculate and process necessary payroll adjustments due to error or client dispute
  • Act as a point of contact for field staff inquires related to payroll. Liaise with Galt’s core team to ensure a timely response and resolution to ensure resolution of payroll-related issues
  • Ensure records and processes comply with company and legal regulations

 

  1. Payroll reporting and tax payments
  • Prepare and submit required tax returns and reports on a monthly, quarterly, annual basis
  • Ensure all required tax payments are made in a timely manner
  • Manage Galt’s online payroll portals (withholding, unemployment, etc.) with all states where payroll is processed
  • Set-up withholding and unemployment accounts for any new states where Galt enters business

 

  1. Client invoicing
  • Process weekly client invoices
  • Act as a point of contract for client inquiries related to payroll and invoices.
  • Assist with resolution of invoicing issues
  • Follow-up on unpaid invoices as needed.

 

 

QUALIFICATIONS:

 

  • Required education and experience:
    • A Bachelor’s degree in finance, business administration, accounting and/or payroll
  • Five years of work experience in a payroll department. At least one year management or supervisory experience
  • Experience with payroll in multiple states, specifically Oregon and Oklahoma
  • Required technical qualifications:
    • Intermediate MS365 computer skills
    • Intermediate accounting and/or payroll software knowledge
    • Bullhorn and/or People2.0 Software experience is an asset
  • Required behavioral qualifications:

REQUIRED CAPABILITIES:


Ability to operate a computer and perform work on a computer for extended periods of time.
