What are the responsibilities and job description for the Facilities Administrator position at Gateway Community Health Center?
The Facilities Administrator works closely with the Deployed Resources Facilities Maintenance Department to enable daily operations, schedule meetings, book travel and lodging, perform data entry, make purchases, collaborate with other departments, and perform a variety of administrative duties.
Duties and Responsibilities/Essential Functions
- Assist in scheduling meetings and events; this may include multiple Deployed Entities or external individuals and need to be done over several different IT systems
- Collaborate across departments to complete projects
- Manage workflow while ensuring deadlines are met and work is completed correctly
- Monitor programs as directed by management
- Assist in maintaining multiple calendars
- Attend meetings and take notes
- Assist with expense reports
- Assist with meeting planning
- Assist with travel accommodations
- May assist Executive Assistants (EA’s) or Executives other than the COO EA and President of Deployed Resources
- Assist company EAs with projects
- Assist company EAs with meeting documentation preparation
- Assist company EAs with meeting hosting and management
- Make purchases on behalf of the department with direction from management

Work Environment
This job operates in professional office, and facility environments. We operate 24/7/365, inside and outside, in all weather conditions. This role routinely uses standard office equipment such as laptop computers, smart phones, tablets, photocopiers, filing cabinets and other presentation materials. There is an expectation of clear communication in English both written and orally.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear; stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to twist, turn, bend, lift, kneel, climb, and stand. Lifting of up to 25 lbs may occur. Employee will be required to travel (at organization expense) in automobile and/or aircraft.
Position Type/Expected Hours of Work
This is a full-time position based remotely. Standard days and hours of work are Monday through Friday, 7:30 a.m. to 4:30 p.m. Ability to work flexible hours including nights, holidays, and weekends will be required based on contract needs.

Required Education and Experience
- High School Diploma (or equivalent) is required; Associate degree is desired.
- 3 years’ administrative experience, to include:
- Proficiency with Microsoft Office software applications
- Proficiency with computers, smartphones, and standard office equipment
Work Authorization/Security Clearance (if applicable)
- Must be able to travel within the Continental United States (CONUS)
- Must pass a drug test, motor vehicle record check, a background check upon accepting a conditional offer of employment.
- Must possess a valid driver's license. Have/maintain a clean driving record.
- Must have or be able to obtain and maintain a Transportation Worker’s Identification Credential (TWIC)
