Administration and reconciliation of all tax and wage amounts (federal, state and local) submitted to third party tax service for designated legal entities with multiple tax jurisdictions.
Responsibilities
- Review and reconcile all daily tax and wage amounts submitted to third party tax service. Research any discrepancies and handle accordingly.
- Reconcile all tax and wage amounts monthly, quarterly and annually between payroll system and third-party tax service. This includes reconciliation of W-2s to payroll tax reports and the quarterly 941 returns to W-2 totals.
- Create and submit annual W-2 reconciliations per state requirements.
- Develop audit reports to identify potential tax issues.
- Serve as subject matter expert and trainer for third party tax software and processes.
- Assist with responses to inquiries regarding tax withholdings and payment data contained in reports, statements and returns.
- Maintain unemployment tax rates and communicate changes to third party tax service and to Data Management supervisor to update payroll system.
- Research all W-2 correction inquiries. Complete and submit all W-2c’s for review and approval. Distribute W-2c through appropriate channel.
- Coordinate tax return amendments through third party tax service.
- Ensure compliance with company policies, internal controls, and SOX controls.
- Identify, research, and assist in the resolution of payroll tax related discrepancies.
- Serve as a backup to the QC function.
- Stay current on regulatory, legal and other payroll developments to foresee and/or address payroll initiatives and issues.
- Research and effectively communicate, both verbally and in writing with employees and all levels of management.
- Keep management apprised of status and open issues.
- Assist with testing tax updates.
- Distribute monthly and quarterly employee/cost verification spreadsheets per SOX requirements and monitor responses.
- Labor statistic reporting.
Qualifications
Education/Experience
- Certified Payroll Certification (CPP) preferred
- Bachelor’s degree in accounting or finance preferred
- Five plus years of multi-state payroll tax experience
- Strong knowledge of multi-state tax regulations
- Solid understanding and working knowledge of payroll processes and systems
Skills/Competencies:
- Strong MS Office and computer skills. Intermediate to Advanced Excel skills preferred.

- Ability to maintain confidential information
- High degree of professionalism and solid ability in delivering high quality customer service and establishing/maintaining effective and collaborative working relationships.
