Gettysburg College, in historic Gettysburg, Pennsylvania, is seeking a dynamic and self-motivated individual who has experience with billing and collections in a higher education setting to serve in this 12 month, full-time administrator position as Assistant Director of Student Accounts. Gettysburg College is a highly selective, residential undergraduate liberal arts college, which enrolls approximately 2,500 students. This position reports to the Senior Director of Financial Services/Controller, with the Student Accounts office being part of the Financial Services Department and the Finance & Administration Division.
The Assistant Director of Student Accounts supervises the day-to-day operations of the Office of Student Accounts and serves as the functional analyst for the Student Financials PeopleSoft System and the Transact student e-billing/e-payment system.
Primary Responsibilities include:
- Oversee the Student Accounts Office, including, but not limited to, billing (including third-party billing), payment plans, account reconciliations, student loans, payment administration, collection procedures, write-offs, bad debt, resolving discrepancies, and communication.
- Supervises and mentors a staff of three student account representatives
- Coordinates and/or supports the accurate preparation and completion of federal tax forms and reports including, but not limited to forms 1098T and 1042S. Ensures timely submittal of reports to the IRS and other government entities.
- Supports the analysis of student accounts for accuracy, resolve discrepancies in a timely manner and ensure the proper posting of all charges and payments.
- Serves as the principal liaison to external partners and vendors associated with student accounts and merchant services, including, but not limited to, payment processing companies and collections agencies. In addition, this position is the principal audit liaison for items related to student accounts and ensures the timely and accurate completion of audit requests.
- Collaborates with internal departments, including but not limited to the Office of Financial Aid, the Office of the Registrar, Office of Residential Education, the Dining Services Office and the Center for Global Education to ensure student account accuracy and the proper flow of information.
- Oversees the posting and accuracy of all general ledger and accounting matters associated with student accounts office
- Serves as the functional analyst for the Student Financials PeopleSoft System and Transact System. This includes system setup and testing.
- Presents a consistent voice for the office and fosters mutual respect and understanding amongst internal and external stakeholders.
The Assistant Director of Student Accounts is a 12 month, full-time administrative appointment. Salary is commensurate with experience and is complemented by an excellent benefits package.
Qualifications
A Bachelor’s Degree in a business-related field and experience with billing and collections or a minimum of four years of experience in the area of student accounts and/or financial aid management in a higher education environment is required. Experience with implementing and/or supporting ERP functionality relating to billing and payments, particularly PeopleSoft is preferred. Qualified candidates will possess excellent record keeping and communication skills both written and oral as well as organizational skills.
