Job description (Position: General Affairs)
Summary: Responsibilities in this position include overseeing and managing various administrative task and facilities within the company. This includes handling office supplies, coordinating maintenance and repairs, managing travel arrangements, and ensuring a smooth working environment within the company.
Objectives of this role
- Supporting in setting up company contracts with vendors and suppliers.
- Reviewing the contracts and or agreements to ensure they are the best for GFA.
- Analyzing invoices, making necessary negotiations, and supporting on the renewal of policies each year.
- Additional assigned tasks and projects will be given by the CFO and COO as needed.
Responsibilities
- Supporting contract audits and monitoring activities on contract risk and compliance.
- Managing day-to-day vendor issues like bill invoicing, pricing contract amendments and disputes.
- Determine cost saving opportunities and pricing optimization strategies.
- Oversee vendor renewal and close-out process and supporting in closing contracts.
- Negotiation of contracts with vendors and clients
- Researching and identifying prospective suppliers.
- Preparing proposals, requesting quotes, and negotiating purchase terms and conditions.
- Preparing and issuing purchase orders and agreements.
- Monitoring supplier performance and resolving issues and concerns.
- Preparing reports and maintaining accurate inventory and procurement records.
- Complying with company policies, procedures, and regulatory standards.
What you should have:
- High school diploma.
- Knowledge of warehouse software packages and MS Office proficiency.
- Ability to input, retrieve and analyze data.
- Hands-on commitment to getting the job done.
- Excellent communication and interpersonal skills.
- Proficient touch-typing skills.
- Strong analytical thinking and problem-solving skills.

Education and Experience:
- Bachelor’s degree in business or related field, or equivalent work experience, required.
- At least five years managing all phases of office management is highly preferred.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift to 25-30 pounds at times.
