RESPONSIBILITY
The Clinical Ophthalmology Manager is to oversee daily operations in a retina clinic, managing staff, scheduling, and ensuring regulations compliance. Coordination of patient care, protocol implementation and collaboration with Retina Specialists (Physicians) and clinic support groups to optimize clinic services.

REPORTING RELATIONSHIPS
The Clinical Ophthalmology Manager reports to the Chief Operating Officer.
JOB DUTIES
ESSENTIAL FUNCTIONS AND GENERAL DUTIES
- Support The Retina Institute’s core values, mission, goals, and objectives.
- Lead assigned functional teams to provide exceptional customer service.
- Provide operational leadership to staff supporting physicians.
- Ensure proper collection of patient information, copays, and scheduling.
- Oversee technical workups, including specific retinal photography.
- Ensure accurate and consistent charting by scribe staff.
- Ensure timely processing of clinical functions and accurate electronic health records.
- Identify and correct inconsistencies and deficiencies in clinical staff performance.
- Establish clinical best practices and cross-train staff.
- Scheduling team to maintain clinical flow and patient and physician needs.
- Address physician concerns regarding clinical staffing needs.
- Maintain sanitary use of equipment throughout the patient encounter.
- Training of staff, development plans, and performance evaluations.
- Advise leadership on functional team staffing to comply with company policies.
- Enforce HIPAA and OSHA standards and physician and management-identified best practices.
- Monthly and weekly inventory and ordering of clinical and office supplies.
- Committee participation as required.
- Other duties as required, including some Saturday hours
REGULATORY COMPLIANCE
Stay up-to-date with relevant regulations, accreditation standards, and compliance requirements. Ensure compliance with healthcare laws, including HIPAA and OSHA regulations
STAFF DEVELOPMENT AND TRAINING
Recruit, train, and evaluate clinical staff. Arrange regular staff huddles and training sessions. Promote JCHAPO accredited certification for clinical team members. Maintain staffing levels to meet patient demand.
EQUIPMENT AND SUPPLIES MANAGEMENT
Ensure proper maintenance of ophthalmic equipment. Manage inventory of ophthalmic supplies and coordinate procurement.
PATIENT EDUCATION AND COMMUNICATION
Coordinate communication between patients and clinical staff.
STRATEGIC PLANNING
Contribute to the development and implementation of the practice’s strategic goals and objectives. Analyze data and performance metrics to drive improvements in clinical operations.
PHYSICAL REQUIREMENTS
- Adequate corrected hearing and visual acuity to perform the essential functions of the job.
- Clearly speak English and articulate and present information to employees and the public.
- Lift up to 50 pounds.
- Stand and walk for an entire work shift with minimal breaks.
- Move quickly for an entire shift if needed.
QUALIFICATIONS
- Bachelor's degree in healthcare administration, business, or a related field (or equivalent experience). Certified Ophthalmic Assistant preferred.
- 3-5 years of experience in healthcare management, preferably in ophthalmology or a related field.
- Strong knowledge of ophthalmology practice and clinical protocols.
- Excellent leadership and interpersonal skills.
- Proficiency in healthcare software, EMR systems, and office applications.
- Understanding of healthcare regulations and compliance standards.
- Exceptional communication and organizational abilities.
