Hours - 8 a.m. to 5 p.m.
POSITION SUMMARY
Greets visitors is a professional and welcoming manner. Respectfully answers all incoming calls and directs all calls to the appropriate department and/or the Glenmark Clearinghouse. Multi-task between assignments for Finance and other departments when needed. Maintain adequate inventory levels of general office supplies and upkeep of supply closet and two break rooms. Proper communication between all parties including but not limited to: department heads, co-workers and outside vendors.
OVERALL JOB RESPONSIBILITIES

- Maintain phone lines and direct calls to appropriate staff member/department/Clearinghouse.
- Greet all visitors in a professional friendly manner. Ensure all visitors sign guestbook in it's entirety.
- Prepares invoices and credit notes to be mailed on a daily basis.
- Work with HR to create event calendar and maintain the employee phone list on a monthly basis.
- Prepare UPS shipping labels (domestic and international) as needed for various departments.
- File paperwork, such as, but not limited to, supply order forms by cost code, UPS tracking information, office supply packing slips, Covid questionnaires, etc.
- Sort and distribute mail to all employees on a daily basis.
- Familiarize with daily functions of the company.
- Order name plates, business cards, stationary, etc.
- Assist all departments with assignments as needed.
KNOWLEDGE, SKILLS AND ABILITIES
Education
- Associates Degree
Experience
- 1-3 Years of Receptionist Experience
Knowledge and Skills (Functional / Technical)
- Must be detail oriented, organized and possess strong customer service skills. Strong verbal and written communication skills. Knowledge of Microsoft Office and other PC related applications.
- Must take initiative and have ability to work independently and as a team member; offering assistance wherever needed.
- Fluent English Speaker. DEPENDABLE. Good organizational skills with cultural awareness and sensitivity. Good interpersonal skills. Able to work on own and as a team player. Energetic and hardworking. Approachable and enthusiastic. Flexible and adaptable.
Physical demands and abilities
- The incumbent typically works in an office environment and uses a computer, telephone and other office equipment as needed to perform duties.
- The noise level in the work environment is typical of that of an office
- Incumbent may encounter frequent interruptions throughout the work day.
- The employee is regularly required to sit, talk, or hear; frequently required to use repetitive hand motion, handle or feel, and to stand, walk, reach, bend or lift up to 20 pounds
