HOURS: 8am-5pm PT, including a one (1) hour break – to be coordinated with the broader San Francisco EA team

Our client, a leading sector-focused growth equity investment firm, is looking for an Executive Assistant to join their team. The ideal candidate will be a motivated, highly adaptable, hardworking professional who believes no task is too big or too small. The new member will support three executives from the Financial Services/Payments investment team including one Partner and two Principals.
Responsibilities of the Executive Assistant:
-Own and manage high-capacity calendaring with attention to various time zones, internal and
external attendee inclusion or exclusion on invite details, etc.
-Liaise with high-level executives and/or their support from external companies to manage
board scheduling and additional executive support (board materials, committees,
documentation requiring review/execution, etc.)
-Communicate professionally with Limited Partners “LPs”, Portfolio Companies “PCs”,
prospective company management, industry peers, amongst other senior leaders, all requiring
the utmost discretion
-Manage all aspects of domestic and international travel including booking air/ground
transportation and hotel, in addition to scheduling meetings, events, and arranging meal
reservations
-Oversee phone management and screening on behalf of executives
-Create and submit expense reports, reconciling with monthly credit card statements
-Manage and enter executives’ activity into internal CRM
-Manage upkeep and editing of executives’ contacts
-Work with compliance personnel to complete documentation/requests
-Back-up of other executive support colleagues
-Adhoc projects and participation in various firmwide requests
Requirements of the Executive Assistant:
-At least two years of relevant corporate work experience with a preference for exposure to investment and financial focused firms supporting two or more senior level professionals
-Bachelor’s degree preferred
-Professional demeanor and interactions with individuals at all levels – internal and external
-Detail-oriented, possesses confidence and strong organizational skills with the ability to seamlessly multi-task while taking ownership of the Executive Assistant role
-Strong written and verbal communication skills, as well as an active listener
-Ability to prioritize workflow and work efficiently on own, but comfortable asking questions,
asking for guidance and help when in doubt of best direction to take
-Pattern in previous roles of working well within a team and proactively contributing
-Intuitive and a quick thinker capable of asking “that next question” –- anticipating the
unexpected
-Evidence of history maintaining discretion with all sensitive information
-A self-starter, calm under pressure
-Proficient in Adobe, MS Office – emphasis on Outlook, Excel, Word and PowerPoint
-Based within reasonable commuting distance to our client’s San Francisco office with the ability to work in the office 3 days per week (Tues-Thurs) and the ability to be in the office an additional/4th day per week if required; Working remotely the other 1-2 days per week if personal circumstances have indicated that can be accomplished successfully
-Verification of identity, education, prior employment, and references may be required
