The Service Appointment Coordinator position focuses on improving the service traffic of the dealership by handling inbound calls and making outbound calls to assist customers schedule appointments for the service department. The Appointment Coordinator acts as the essential communications link between customers and dealership personnel. Customer follow-up after service visit inquiring how the service experience was is also an important part of this job.
Responsibilities:
- Ensure that all inbound calls are handled in a timely and effective manner for service department and dealership.
- Perform outbound calls to set and confirm appointments.
- Follow scripts and guidelines on all inbound and outbound calls.
- Be prepared, friendly, knowledgeable, and confident on every call.
- Ensure appointments are set accurately.
- Schedule appointments for appropriate dealership location.
- Deliver inquiries/messages intended for other service personnel and departments promptly.
- Check email frequently and respond to inquiries immediately.
- Commitment to remain informed about product.
- Perform Rental Car and sublet Reservations via phone.
Job Requirements: Skills / Experience
- MUST have fluent computer/keyboard skills.
- Automotive/Service Dealership knowledge and experience preferred.
- Prior experience in a Dealership environment is helpful.
- Back ground with DealerTrack software a big help.
- Customer service and/or reception highly preferred.
- Excellent verbal/written communication skills.
- Customer contact experience required.
- Outgoing and patient personality with good customer relations ability.
- Professional Personal Experience is a must along with being a Team player.
Ideal Candidate:
- Excellent work ethic.
- Experience with DealerTrack Computer systems.
- WiAdvisor appointment system.
- Automotive Dealership experience.
- Must be on time, cheerful, and team player.
- Self-motivated.

Pay: $17.00 - $20.00 per hour
Job Duties:
- Answer incoming customer inquiries.
- Collaborate with management teams to stay updated on new products, services, and policies.
- Record customer information within our customer service database.
- Engage with clients in a friendly and professional manner while actively listening to their concerns.
- Offer support and solutions to customers in accordance with the company's customer service policies.
- Other duties as requested.
