What are the responsibilities and job description for the Card Services Coordinator position at Grambling State University?
The card services coordinator will be responsible for administrative functions, operational support, and efficient maintenance for campus card services to consist of the Tiger1 Card, LaCarte Purchasing Card, and Travel Card.
- Manage the daily operations of the card office.
- Oversee all financial transactions, including recording transactions and reconciling individual accounts.
- Reconcile all Tiger1 Card devices (i.e., dining, campus bookstore, vending, etc.).
- Perform general ledger and sub-systems reconciliations, and review and resolve daily error reports.
- Build and maintain positive working relationships with vendors and campus system administrators.
- Assist Transact Campus with installing and configuring card devices on campus, provide moderate technical assistance, and liaise between Transact and third- party vendors.
- Assist with maintaining cardholders’ database, which includes issuing new and replacement cards, enrollment verification, secure access controls, and destroying all non-functional or duplicated cards.
- Assist with monitoring the issuance of travel credit cards; conduct trainings to ensure that cardholders are aware of all duties and responsibilities associated with the possession/use of the travel card.
- Review and process Request for Authorization to Travel documents for compliance with PPM49 in the SAP Concur Travel system; process and complete request for car rental bookings, registration payments, airfare payments, hotel payments, and cash advances.
- Perform administrative duties, maintaining accurate files and record systems.
- Assist in reviewing travel and expense claims to ensure compliance with university policies and the accuracy of information provided; assist in reviewing and processing Travel Expense for reimbursements to faculty/staff in Concur travel system.
- Assist students with card registration, online management, and discrepancies.
- Respond to service issues and reports in a timely manner.
- Collect Bank of America Statements, travel card logs, and supporting documentation from university cardholders.
- Assist in the implementation of any functional changes to the travel request and expense systems or procedures, ensuring related assignments are carried out in an efficient, effective and timely manner, and communicated effectively.
- Work modified or additional hours (may include weekends) needed to complete work assignments during high volume periods (i.e., registration and the Fiscal Year End).
- Serve as the university’s LaCarte Procurement Card Program administrator.
- Must stay abreast of program updates and disseminate policy changes to
- cardholders and other university personnel as deemed appropriate.
- Collaborate with university administration to develop and maintain the purchasing card policy and procedures.
- Monitor the issuance of purchase cards and promptly reconcile periodic statements.
- Maintain original cardholder signed agreements and all other documents pertinent to the program.
- Perform other job-related duties as assigned.
- An associate’s degree in computer information systems, accounting, business administration, or a related field.
- Ability to quickly learn various software and systems.
- Two to three years of experience in relevant work experience including but not limited to business and computer applications is required.
- High proficiency with Microsoft Office/Office 365 programs (e.g., Outlook, Word, Excel) and database applications are required.
- Excellent customer service, organizational and analytical skills with strong attention to detail.
- Strong communication skills and the ability to manage multiple tasks simultaneously.
Preferred:
- A bachelor’s degree in computer information systems, accounting, business administration, or a related field.
- Experience with Transact Campus, the Louisiana Office of State Travel, and the Louisiana Office of State Procurement.
