ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Composes and processes routine correspondence.
Organizes and maintains file system, and files correspondence and other records.
Coordinates proposal and bid package information, sub solicitation and preparation of subcontract documents..
Collects and tracks executed Subcontracts, insurance, licenses, Subcontractor and Supplier releases.
Assists with Owner Change Orders, Pending Change Orders, and Subcontractor Change Orders.
Prepares Owner invoices, applicable waivers, and any additional Owner Billing Requirements. Tracks and follows up as needed for payment status from Owner.
Requests and reviews Subcontractor Invoices to be sure they are mathematically correct, and that Schedule of Values and applicable waivers are attached.
Coordinates and arranges meetings, events, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
Makes copies of correspondence or other printed materials.
Prepares close out packages. Collects Warranties, As-Builts and applicable O & Ms.
Requests Customer and Mall Owner’s Insurance Certificates per Specific Requirements
Requests and reviews Requirements. Requests Deposits checks and documentation as needed.
Assists Project Superintendents with various tasks as needed.
Orders various materials for jobsite per direction of Project Manager.
Prepares Permit Packages for Superintendents. Assist with City Business Licenses as needed.
Coordinates with Accounting Dept for Subcontractor Payments.
Assists with the archiving of projects.
Experience in Timberline/ Sage highly preferred
EDUCATION and/or EXPERIENCE
2-5 Years Experience
One year certificate from college or technical school preferred; and a minimum two (2) years related experience or four (4) years directly related experience within construction support.
Experience in Timberline/ Sage highly preferred
