We are seeking an experienced and proactive Office Manager to join our thriving landscaping company. As the Office Manager, you will play a vital role in ensuring the smooth operation of our office and providing effective administrative support to our team. Responsibilities:
- Manage day-to-day office operations, including supplies, equipment, and facility maintenance.
- Develop and implement efficient filing systems and document management procedures.
- Generate accurate and timely invoices for clients based on completed projects or services rendered.
- Monitor accounts receivable, follow up on outstanding payments, and communicate with clients regarding payment terms and overdue invoices.
- Provide administrative support to the management team and field staff.
- Coordinate and schedule appointments, meetings, and travel arrangements.
- Prepare and distribute documents, reports, and presentations as needed.
- Maintain accurate and up-to-date databases, records, and confidential files.
- Foster effective communication and collaboration among internal and external stakeholders.
- Oversee HR functions such as recruitment, onboarding, and employee records management.
- Liaise with vendors, suppliers, and service providers to ensure timely and accurate delivery of goods and services.
- Ensure compliance with company policies and procedures.
- Project management - overseeing various different projects for improving customer communication and office efficiency
Requirements:
- Bachelor's degree in business administration, management, or a related field (or equivalent experience).
- Proven experience as an office manager or in a similar administrative role, including invoicing and accounts receivable responsibilities.
- Strong organizational and leadership skills.
- Excellent written and verbal communication abilities.
- Proficiency in MS Office (Word, Excel, PowerPoint) and database management.
- Ability to handle confidential information with discretion and integrity.
- Detail-oriented with excellent problem-solving and decision-making skills.
- Strong interpersonal skills and the ability to work effectively with a diverse range of individuals.
- Flexibility to adapt to changing priorities and work independently.
- Knowledge of basic bookkeeping and financial processes.
- Familiarity with invoicing software or accounting systems is desirable.
