- Efficiently and expertly dealing with and prioritizing the details of schedule management, diverse routines and ad-hoc administrative tasks to help manage the home/work balance with minimal to no supervision.
- Handling sensitive and confidential information, while exercising good judgement and maintaining high levels of integrity.
- Project management of complex, global administrative related tasks and events across different time zones.
- Using process improvement approaches to all aspects of work; identifying and implementing efficient administrative practices and anticipating future support needs.
- Being knowledgeable about all administrative related GSK systems and processes to be able to work quickly and effectively for their senior stakeholder.
Responsibilities:
- Working in partnership with your aligned GRQ Team members with administrative and other project based tasks.
- Manage regular interaction with various global departments and multiple leadership team interfaces. Organize meetings and prepare any necessary documents. Manage agendas and associated SharePoint team sites.
- Full schedule management and coordination of professional schedules, including multiple leadership team meetings, and other decision-making forum and their associated team sites, agenda, and calendar invitations.
- Planning, booking of travel arrangements for designated senior leaders.
- Regularly works with and/or access to sensitive/confidential information where a high level of discretion is required.
- Regular contact with individuals at high levels within and outside of the business sector with the demonstrated ability to pass on instructions, advice, and obtain decisions or agreements in potentially sensitive situations.
- Creation of systems and processes for visits, meetings etc.
- Ensuring expense management for designated senior leaders.
- Supports administrative activities in designated projects.
- Regulatory Inspection Support.
- FDA Meeting Coordination and Support.
Basic Qualifications:
- High School diploma.
- 8 -10 years of Administrative Assistant experience of increasing complexity.
- Demonstrates knowledge in various software programs (including Outlook, Word, Excel and PowerPoint).
- Experience with SharePoint team sites, WEBEX, Skype, expense management systems (ie Concur) and database experience with the ability to learn new software in a timely manner.
Preferred Qualifications:
- Experience managing comprehensive international travel arrangements and significant complex major events.
- Demonstrates the time management skills to plan manage and coordinate activities and major functions.
- Additional depth of experience supporting senior stakeholders.
- Proactively review calendars and upcoming events to ensure conflicts are mitigated and leaders are prepared for key meetings.
- Ability to work independently and without direct supervision.
- Demonstrates attention to detail and decision-making skills to respond to high pressure situations.
- Polished and professional oral and written communication skills.
- Experience dealing with highly confidential information.
- Team player with the ability to gain the confidence of and cooperation of peers.
- Experience providing administrative support for a senior executive within a global, multi-national company.
- Possess knowledge of department roles, management structure and inter functional relationships with other departments and related organizations.
- Experience in highly regulated environment.
- Experience coordinating and supporting regulatory inspections.
