Position Summary Information

Basic Function
Under the general supervision of the Vice President for Academic Affairs and Academic Dean and Associate Academic Dean, the Registrar provides a link between the academic policies of Guilford College and students. The Registrar is responsible for student registrations, records maintenance, degree audits, provide the necessary services which facilitate class and room scheduling, collection and maintenance of grade information, student performance monitoring, and a variety of other services related to student records and performing other related duties as assigned. The Registrar also works very close with the Institutional Researcher and assumes responsibility for staff development and overall operation of the Registrar’s Office.

Duties and Responsibilities
SPECIFIC RESPONSIBILITIES:
1. Manages and supervises the Office of Registrar and staff
2. Manages and supervises the Office of Student Accounts
3. Administers the budget of the Registrar’s Office, Student Accounts, Summer School and payroll for night courses
4. Oversee the establishment, permanent maintenance and security of all official students’ academic records
5. Oversees registration process
6. Determine students can access grade reports and other academic information online
7. Produce official and unofficial transcripts as needed
8. Ensure academic standing rules are followed
9. Implements the administrative and faculty policies pertaining to the awarding of degrees and grade reporting. Includes clearing students for graduation
10. Publishes online and paper copies of class schedules and the institutional academic calendar, assigns courses to classrooms, and prepares the final examination schedule
11. Update catalog and maintain online catalog
12. Oversees academic section of course catalog
13. Oversees transfer credits for transfer students
14. Assists with Curriculum Advising and Program Planning
15. Prepares statistical reports for institutional, government and other off-campus requirements
16. Work with Division Directors and provide information as needed for planning
17. Work closely with Office Manager in implementing new computer procedures
18. Work with the Center for Continuing Education in providing service to students and ensuring college polices are followed
19. Maintain Registrar’s page and summer school pages on web
20. Maintain course schedule
21. Maintain summer school
22. Pay night and summer faculty
23. Oversee articulation agreements with local colleges and universities
24. Interprets and implements college, State and Federal policies as they relate to student records
25. Acts as a resource and member of various standing and ad hoc committees involved with the planning, policy making and other related areas of decision making within the college
26. Work with Office of Student Accounts in improving job processes
27. Work closely with Associate Academic Dean
28. Member of Curriculum Committee
29. Member of Convocation/Celebration Committee
30. Member of Benefits Committee
31. Assist with daily functions of Registrar’s Office
32. Performs other related duties as assigned
33. Serves as Coordinator of the Greater Greensboro Consortium and insures that all policies are followed within the agreement
INTERNAL CONTACTS:
Frequent contact with Admission, Associate Academic Dean, Office of Student Accounts, CCE staff, Financial Aid, students, and faculty.
EXTERNAL CONTACTS:
Frequent contacts with the Registrar’s staff of area colleges and
universities.

Minimum Qualifications
Experience in higher education, proven administrative abilities, and a keen interest in working with students, faculty and staff. Admissions and strong marketing experience preferred. Sensitivity to the special needs of adult students. Committed to providing quality services to the College community. Innovative problem solver.
