Education and Experience Requirements:
Bachelor's Degree in Aviation Sciences or Business Administration required or an equivalent combination of education and experience sufficient to successfully perform the essential functions of the job. 6 years of administrative operations experience to include two years supervisory experience.
Position Purpose:
Coordinates and supervises a variety of administrative services for the Business office including, manpower and business planning, resource control, forecasting revenues, personnel administration, budget preparation, and monitoring. Supervises support personnel to provide scheduling and timely accurate invoices for customers.
Principle Duties and Responsibilities:
Essential Functions: 1. Plans, schedules, and coordinates the duties of the Business Office personnel. 2. Coordinates with other business units within Gulfstream and 3rd Party Maintenance providers to ensure all customers receive professional support with accurate records and complete invoices. 3. Works closely with other Product Support managers to ensure all customers are provided with a single point of contact for resolution of all account receivable invoices issues that are in dispute. 4. Reviews all invoices and progress billing for completeness and accuracy within the guidelines of the Gulfstream Corporate Credit Policies. 5. Provides and maintains accounts receivable over 90 reports and matrix, to the Vice President, General Manager or Director of the appropriate business unit and Aircraft Services Senior Management, as required. 6. Works with business unit management in the development and analysis of business office performance reports, as required. 7. Works closely with Customer Service personnel to ensure all customers requirements are met. 8. Assist Business Office staff in regular contact with customers and vendors to exchange information, settle disputes, provide services, etc. 9. Works to develop new processes to streamline and modernize business workflows across Customer Support/Enterprise.
Additional Functions: 1. Participates in a wide variety of special projects to include business improvements. Perform other duties as assigned.
Other Requirements: 1. Strong organizational skills and problem solving skills, with the ability to be creative and resourceful in dealing with constant varying requirements and situations. 2. High level of proven computer literacy with working knowledge of Microsoft Office and Accounting/Finance applications.
