PRIMARY PURPOSE OF JOB

The Grants Officer will manage an effective and efficient grant program by ensuring operational, financial, procedural, compliance, and reporting excellence. This position reports to the Director of Marketing & Communication and works closely with members of the Programs, Development, and Constructions teams. This is a full-time (32 hour) hybrid position including both work-from-home and in-office work out of the Springfield, MO office.

ESSENTIAL FUNCTIONS AND PERFORMANCE AREAS - Other duties may be assigned


Grant Management

  • Develop yearly grants calendar and oversee its implementation.
  • Work closely with the programs staff and leadership to stay up-to-date on funding needs for Preservation & Repair, Homebuying, capital expenses, and NR program modifications.
  • Research and identify funding opportunities to support the organization’s priorities (i.e. grants, foundation support, etc.) and general funding needs.
  • Attend required and optional meetings with grantors as needed and be an ambassador for Habitat’s mission by supporting our efforts to establish and maintain extraordinary relationships with grantors. 
  • Utilize HFHS’s donor database to accurately track proposals, grant applications, funding inquiries, and correspondence with funding institutions.
  • Research supporting statistics and data for grants for letters of intent, proposals, and grant applications.
  • Prepare and submit letters of intent, proposals, grant applications and other related documents to support existing and future program activities.


Compliance and Reporting

  • Track, report, and maintain compliance as related to grant activities and ensure proper documentation and retention of requirements.
  • Provide support, documentation and follow-up for grantors.
  • Ensure that necessary Habitat staff are aware of grants funding requirements and deadlines, following these requirements, and receiving necessary documentation throughout the spending process.
  • Ensure all grants are entered in the donor database and tracked in a timely manner 
  • Coordinate with other staff members to produce accurate and timely reports for all grants that have been awarded to HFHS by due dates.


Internal Responsibilities

  • Upholds the mission, vision, and values of HFHS, leading with integrity, a high level of excellence, a passion for the community and inspiration to better the lives of others.
  • Attend Board and committee meetings as requested; provide monthly metrics to the Board.
  • Community outreach and attendance at various Habitat functions and/or events are required. 
  • Work in conjunction with the Director of Marketing & Communication to identify opportunities for publicizing gifts utilizing appropriate media. 
  • Works with the Finance Department to ensure proper accuracy in tracking and reconciliation. 
  • Provide input on expected grant revenue for annual fiscal year budgeting.
  • Attend appropriate meetings, including weekly team and supervisor meetings, monthly staff meetings, and additional meetings as needed
  • Provide support for other Development and Program needs as needed and time allows. May include but not be limited to: social media, newsletters, event planning and implementation, community event representation, etc.

  • Detail-oriented, can effectively oversee a wide array of tasks, projects, and responsibilities. 
  • Ability to work in a fast paced, dynamic environment under tight deadlines while maintaining accuracy.
  • Operation of office equipment and knowledge of or ability to learn personal computer and basic computer applications such as, Google Drive, Google Sheets, Asana, Slack, and MS Office.
  • Ability to establish and maintain harmonious working relationships with people of diverse backgrounds, including the public, co-workers, and board
  • Ability to exercise independent judgment, manage time effectively, and work with a minimum of supervision
  • Excellent analytical, quantitative, problem-solving, and written and verbal communication skills with the ability to synthesize information and data quickly
  • Ability to express needs and impact with compelling stories and relevant data-driven information


EDUCATION, TRAINING AND EXPERIENCE REQUIREMENTS

  • Bachelor’s degree in a relevant field
  • Two or more years training or experience in grant writing or technical writing, preferably for a nonprofit



PHYSICAL CONTEXT AND WORK ENVIRONMENT

  • Must be able to see, read documents, and use a computer 
  • Must be able to hear well enough to communicate with team members, partner homebuyers, volunteers, and the general public 
  • Must be able to sit for long periods of time 
  • Must be able to move about the work area, at job sites, and at community events 
  • Must be able to type and use equipment and electronic devices 
  • Must be able to occasionally climb, stoop, or kneel to file documents and remove supplies or other items from the storage room.

Working Conditions

This is a hybrid position including both work-from-home and in-office work. The work environment is usually a well-lighted, environmentally controlled indoor office environment with a moderate level of noise. Periodic travel to work sites, events, committee meetings, or Board meeting locations required.
