Description
HALO is looking for an Office Sales Support Administrator to provide general reception and administrative support to internal staff, as well as part-time administrative support to assigned Account Executive(s). They will prepare preliminary sales materials, organizing presentations, scheduling sales appointments, obtaining pricing and submitting orders. They will also manage the front of house needs, including walk in customers, payment for orders, answering general questions, other duties as assigned, based on business requirements.
Responsibilities
Day-to-day responsibilities include but are not limited to:
- Answer telephone, route calls to appropriate individual, office paging and announcements, take and relay messages in a timely manner, and distribute incoming mail and faxes.
- Greet and direct office visitors; keep track of pick up room; call customers to pick up orders
- Coordinate and post outgoing mail/packages, including daily packages to corporate office
- Operate and maintain postage meter, including ordering replenishment postage when necessary; mail customer invoices; obtain tracking numbers, when needed
- Arrange for and announce vendor meetings; ordering lunch if necessary
- Keep showrooms/sample rooms organized and presentable; maintain office catalog inventory.
- Organize quotes, client presentations, including product research & recommendation; ordering virtual, spec, or random samples; creation, printing & distribution of flyers or mailers; and obtaining pricing with direction or approval from assigned sales leaders (Account Executives)
- May participate in presentations, meetings, etc. and attend industry trade shows
Requirements
- High school diploma or equivalent and one to three years sales or administrative support experience required.
- Previous experience in the promotional products industry preferred.
- Proficient in the use of Microsoft Software applications such as Outlook, Word, Excel and PowerPoint
- Effective problem-solving capabilities
- Ability to communicate clearly and concisely in both oral and written form
- Efficient time management and organizational skills
- Ability to work well under pressure, on multiple projects and meet deadlines
- Possess and project a positive, professional attitude through outstanding interpersonal skills
- Must be a flexible, enthusiastic and creative team player who is able to work overtime when required
- Valid driver’s license and automobile insurance coverage (if using vehicle to deliver/pick-up postal mail)
