Administrative Assistant Description:
· Must be able to articulate and implement Halt Violence mission and vision. They are the representative when interfacing the clients when they come through Halt Violence door, as well as there first interaction when calling Halt Violence.
· Must answer the work phone and return miss calls if they couldn’t talk due to prior commitments or meetings.
· Must be able to exercise good judgement in a variety of situations, have strong written and verbal communication, organizational skills, and administrative experience.
· Must be able to balance multiple assignments is imperative. Especially, confidential matters and discretion.
· Can work under pressure at times, not forgetting important task.
· Supports the efficient and effective use of administrative resources toward organizational goals.
· Apply change, risk and resource management principles when needed.
· Discover ways to enhance efficiency and productivity of procedures and clients.
· Provide comprehensive support service that ensures great communication and responsiveness.
· Provide administrative calendar management; prioritize inquires and request, trouble shoot conflicts with little assistance, make suggestions and recommendations to ensure smooth day to day engagements.
· Support CEO with internal and external communications.
· Conduct research and analysis on issues of interest to CEO.
· Support and manage a high-volume of requests and projects to meet objectives of CEO.
· Manage all scheduling and travel logistics for the CEO.
· Prepare and edit correspondence, presentations, reports and memos.
· Complete expense and payroll reports and manage correspondence with vendors.
· Organize meetings, events for convenings, retreats, various board meetings and other logistics.
· Maintain quality filing and communications systems including contact management, document management and archiving.
· Support CEO with donor/funder relations.
· Maintain strict confidentiality as it relates to administrative activity, operations, and other proprietary protocols.
· Assist in other administrative tasks as needed.
Job Type: Part-time
Pay: $15.00 per hour
