This position works with all departments of HAP to keep a portfolio of residential multi-family buildings running smoothly and our tenant base satisfied. The role is supervisory over a 3rd party property management company which handles day-to-day operations and tenant communications. The Property Operations Manager is the internal team member here at HAP who is the liaison between ownership's senior leadership and our 3rd party property management firm to ensure that the buildings are operational and fiscally successful.
Responsibilities Are as Follows:
- Communication Liaison: between Property Managers and Ownership - organize these communications and use them to ensure that ownership always has accurate and recent information and data as it relates to the portfolio. Provide leadership, guidance, and any needed approvals to Property Managers to implement ownership's tasks and needs as they arise.
- Vendor & Account Management:
- obtain proposals and approve vendors when necessary
- review and approve all operational invoices (ex. pest exterminator, sprinkler system inspector, plumber)
- submit monthly payables reporting that includes all expenses on the portfolio
- communicate when necessary to various service providers as needed (ex. internet, phone, electric, water)
- Project Management:
- see that all projects ongoing in the buildings are completed on budget and on time (ex. large maintenance projects, capital improvements)
- see that all compliance items are completed on budget and on time (ex. Roof Tank Inspections, Facade Inspection)
- see that all violations are cured and dismissed as needed (ex. DOB, HPD)
- Financial Operations/Reporting:
- track collections for the entire portfolio ensuring that rents are being received, report these figures to senior leadership regularly
- work with outside counsel on L&T cases and provide them with anything they may need to begin or continue their cases
- prepare monthly reports on collections v rent charges
- prepare monthly reports on portfolio performance to present to senior leadership and investors
- work with finance department on bespoke financial analysis and reporting
- Leasing:
- work with 3rd party leasing brokerage on filling vacancies, approving and onboarding tenants
- ensure lease packages are accurate and complaint
- maintain records of leases and security deposits
