MISSION

HFC is seeking an Administrative and Operations Associate to join the operations team to manage the day-to-day needs and provide support to our management team and employees. You will work directly with our management team as well as our sales and production teams as needed.

Specifically, you will…

  • Manage and maintain digital filing systems; including but not limited to employee contracts, contractor and vendor contacts, Client scope of work contracts, and tooling contracts.
  • Audit and update company operational software tools
  • Prepare and assist in the preparation of reports
  • Help make HFC a fun and accommodating workplace by
    • managing the distribution of company gifts; specifically for new hires, employee birthdays, and company internal and external holiday gifts;
    • and helping to organize HFC social functions and events
  • Maintain client and vendor contact lists
  • Make travel and meeting arrangements for HFC team members
  • Proven experience as an Administrative Assistant, Virtual Assistant, or Operations Admin Assistant
  • Strong organizational skills with meticulous attention to detail
  • Excellent time management skills and the ability to prioritize work
  • Proven ability to work autonomously while executing sound judgment and decision making skills
  • Attention to detail and problem solving skills
  • Strong analytical, communication, and computer skills
  • Ethical behavior
  • Proficiency in spoken and written English
  • Though this will begin as a remote position, ability to commute to NYC is required
