Receptionist

Job Summary:
The Receptionist will answer all incoming calls during regular business hours and perform a full range of moderate to complex clerical tasks involving judgment and discretion.
Specific Job Duties:
- Answer and transfer all incoming calls
- Process standard and electronic mail (incoming and outgoing)
- Distribute incoming faxes and assist with outgoing faxes
- Track supplies and inform Accounting Manager of shortage
- Prepare and compose correspondences, reports, etc.
- Create /maintain standard & electronic files and records
- Troubleshoot office technology problems and systems of a limited scope
- Assist with events; name tags and RSVP’s
- Compile & prepare reports
- Log donations and send Thank You letters
- Maintain supply cabinets
- Sort and distribute mail
- Assist other departments as needed
- Other duties as assigned
Job Requirements:
- Proficiency in using standard office software including Microsoft Office
- Thorough knowledge of English grammar, punctuation, and spelling.
- Proper telephone etiquette and a positive service attitude.
- Quality oral and written communications skills.
- Proficiency with standard office machines and equipment.
- Ability to perform day-to-day work with only general instruction, including new or unusual assignments with independence and initiative.
- Ability to perform assignments and projects which often involve coordinating with other employees to gather information or solve problems.
- Thorough knowledge of office methods, procedures and practices.
- Ability to learn, interpret independently and apply a variety of complex policies and procedures.
- Ability to identify deviations from applicable policies.
- Ability to perform standard arithmetic functions of a transactional nature, including tracking and comparing data.
- Position requires the ability to sit and work on a computer for 8 hours a day.
- Ability to communicate with clients, other staff members and the general public exchanging accurate information face-to-face, on the telephone and electronically.
- The job requires constant computer and other office productivity machinery operation, such as a calculator, copy machine, and computer printer.
Education:
- Bachelor Degree Preferred
