Fiscal Manager
Haven House, Inc.
General Functions: Works in staff capacity to develop budget controls, records and office management including managing supply budget and vending supplies. Also functions along with the Executive Director as external control for financial responsibilities and reporting.
Major Duties:
1.) Analyzes operating practices such as recordkeeping systems, forms control, personnel and budgetary requirements, and performance standards to create new systems or revise established procedures.
2.) Coordinates collection and preparation of operating reports such as time and attendance records, terminations, new hires, transfers, and budget expenditures.
3.) Oversees the operation of Haven House, Inc. accounting system, including payroll processing, fringe benefits as well as duties associated with the management of insurance and other timekeeping and maintenance of office master calendar.
4.) Compiles and maintains statistical information and financial reporting for grant purposes.
5.) Ensures agency compliance with regard to all applicable federal, state, and local laws, as well as grant guidelines.
6.) Compiles, stores, and retrieves management data.
7.) Formulates procedures for systematic retention, protection, retrieval, transfer and disposal of records.
8.) Maintenance of office equipment inventory.
9.) Operates and arranges proper maintenance of office machines.
10.) Handles office operations and procedures such as flow of correspondence, filing, requisitions of supplies.
11.) Maintains confidentiality of information.
12.) Records monetary donations and writes receipts.
13.) Prepares monthly fiscal reports for board meetings
14.) Maintains records of donors
15.) Other duties as assigned by Executive Director.
Qualification Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.
Education and/or Experience: Possess a two-year business degree or have five years of documented work related experience.
Language Skills: Ability to read, analyze and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers and the general public.
Mathematical Skills: Ability to work with mathematical concepts such as probability and statistical inference. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
Reasoning Ability: Ability to define problems, collect data, establish facts and draw valid conclusions. Ability to interpret extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Other Skills and Abilities:
1.) Must be computer literate.
2.) Must have accounting skills.
3.) Knowledge and understanding of domestic violence/sexual assault issues.
4.) Must be able to handle information on a confidential basis
5.) Must be able to function in a team setting.
