What are the responsibilities and job description for the OAHU-ADMINISTRATIVE MANAGER-EQUIPMENT YARD position at Hawaiian Dredging Construction Company Inc?
This position assists the Equipment Manager with administrative duties relating to tracking equipment costs, billings, equipment management and other administrative tasks. This position reports to the Equipment manager.
PRIMARY FUNCTIONS & RESPONSIBILITIES
OFFICE MANAGEMENT – Managerial and Job Support:
- Administer the execution of procedures and policies for the Equipment Yard.
- Work with the Equipment Manager in the interpretation and affirmation of union issues, including grievances and disputes.
- Provide jobsite personnel with blue book rates and fuel consumption calculations.
EQUIPMENT MANAGEMENT
- Manage weekly and monthly recovery runs to adjust for over / under reporting.
- Assist the Equipment Coordinator in the reconciliation of outside rentals to assure adequate recovery.
- Review equipment utilization vs. cost report by group/series for correct recovery reporting.
- Analyze monthly revenue vs. cost report by group / series for correct reporting.
- Determine termination, extension or buy-out of equipment rentals.
ACCOUNTING
- Review and code invoices.
- Reconcile monthly vendor statements.
- Handle inquiries on payment status.
- Prepare monthly billings of rental equipment to outside contractors / vendors.
- Administer lease agreements of company owned equipment rented to contractors / vendors.
- Organize month end closing entries of inter-company cost transfers, overhead allocations, Davis Bacon job reporting and distribution of divisional over/under utilization.
- Create invoices and bill out welding charges to jobs or vendors.
- Review the monthly accounting status report, examine any overruns.
- Review I.A.M. union employees’ vacation and sick leave records. Aid Superintendents and clerks in the interpretation of the I.A.M. union contract. Review and approve small Tools hourly timecards. Supervise data entry.
- Assist the Equipment Manager in writing and processing of C.A.R.’s.
- Maintain Fixed Asset ledger.
KNOWLEDGE AND SKILLS USED
- Must have effective supervisory skills and ability to work with a diverse group of personnel involved in the operations of the Yard.
- Ability to use various computer applications to enter data and process reports.
- Possess strong analytical skills.
- Work with scheduled deadlines and manage priorities.
- Familiarity with different types and functions of construction heavy equipment.
- Excellent communication skills.
QUALIFICATIONS
- High School diploma or equivalent.
- Valid Driver’s License
- 3-5 years experience in administrative duties including accounting functions.
- Self-motivated
- Detailed oriented.
WORK LOCATION: HDCC Equipment Yard (Kapolei, Hawaii)
Starting Salary: $80,000/yr.
