Job Description
As part of the procurement department work with the organisation to support the procurement process. Tasks include maintaining ongoing contract and supplier status; contract renewals and discrete procurement project work as required. Support and cover other departmental procurement as required.
Specific responsibilities and key tasks
Support the organisation’s procurement processes
Assist users with sourcing, prequalification and registration of new and potential suppliers and solutions
Administrate the sign-off process on new suppliers and contract extensions, ensuring that relevant contractual process and relevant senior management confirmation is in place
Contact suppliers to collect, collate and understand supplier background information, and share this information with colleagues to inform sourcing and procurement decisions
Manage the supplier management portal to identify new suppliers and ensure contractual, copyright and insurance requirements are in place
Administer new and existing contracts, ensuring cancellation and renewal reminders are sent and acted on by user departments
Provide support to departments undertaking procurement projects, ensuring that decisions are informed by objective appraisal and risk analysis, and have received relevant senior management sign-off
Develop and support systems that promote best practice in procurement across the organisation
Ensure that procurement is involved in appropriate contingency planning and risk management to anticipate potential failure in supply
Promote sustainability across the organisation and supply chain and maintain a leading position in sustainable procurement, working with suppliers on compliance
Work on procurement projects as required
Support the users to identify areas for efficiency, aggregation, cost reduction and improvement
Work with procurement and users to ensure that contracts, SLAs and SoW are in place for all applicable spend from Live Events
Key Skills and Attributes
Demonstrate professionalism
Desire to attain Diploma in Procurement & Supply (CIPS Level 4)
Maintain a positive attitude and behave in a calm and controlled manner
Demonstrate good financial understanding and control
Work to understand business needs and objectives in relation to the procurement function
Show initiative and seek ways to improve efficiency and processes and be receptive to new ideas
Share knowledge and communicate effectively with the business both verbally and in writing
Establish and build positive relationships with internal and external clients and suppliers
