Greets and assists visitors, physicians, hospital staff, and telephone callers; gathers relevant information and routes inquiries/calls to the appropriate manager/department in situations where no clear precedent or policy exists.
Maintains effective communication with subsidiaries, medical staff, senior managers, department directors, employees and external agencies for scheduling meetings and relating confidential information.
Assists the Senior Executive Assistant in facilitating the day-to-day operations of the Administration office as directed. Provides administrative coverage for the Senior Executive Assistant for Paid Time Off (PTO) days.
Provides primary administrative support to the Chief Financial Officer and Chief Information Officer scheduling meetings and completing other administrative tasks as requested. Assists the President & CEO and other senior managers with scheduling meetings and other administrative tasks as needed.
Prepares financial spreadsheets for the Chief Financial Officer for distribution to senior management and department directors on a weekly/monthly basis.
Prepares PowerPoint presentations, Excel spreadsheets, and Word documents for senior managers.
Prepares confidential reports, forms, questionnaires, surveys, and communication responses to various external agencies as directed.
Assists the Finance Committee Chairman and Chief Financial Officer with scheduling meetings and other tasks related to the Finance Committee. Prepares and distributes the Finance Committee meeting agendas at (5) days in advance of the meetings. Transcribes Finance Committee meeting minutes within five (5) business days following the meetings and ensures follow up and completion of all business conducted at those meetings.
Prepares and distributes Senior Team meeting agendas at least three (3) days in advance of the meetings. Transcribes Senior Team meeting minutes within five (5) business days following the meetings and ensures follow up and completion of all business conducted at those meetings.
Prepares and distributes Department Head meeting agendas at least three (3)days in advance of the meetings. Transcribes Department Head meeting minutes within five (5) business days following the meetings and ensures follow up and completion of all business conducted at those meetings.

Provides back up coverage for the Risk Management Coordinator to maintain the hospital contract database on the portal including scanning and uploading contracts and business associate agreements into the contract database. Works with the Chief Financial Officer on commercial insurance contracting, as needed.
Works with the Physician Recruiter to coordinate interview schedules for physician candidate visits including hotel reservations and internal lunch meetings and to provide other administrative support that may be needed for weekly recruitment meetings.
Sorts and distributes incoming mail.
Maintains the Administration office in an organized and professional manner including ordering office supplies.
Performs administrative functions including, but not limited to: electronic mailing, faxing, typing, copying, collating, express mailing, processing of invoices, filing, shredding and recycling.
Maintains a high level of integrity, professionalism and trust with employees and team members.
Collaborates and works effectively with others to achieve positive work outcomes and is receptive to suggestions and continually seeks to improve performance.
Develops and maintains collaborative and positive working relationships with outside vendors to support business goals.
Qualifications
Minimum Requirements: Five+ years of direct experience supporting senior executives. Associates degree in related field. Prior experience will be considered in lieu of degree. Organization skills and confidentiality are a must.
Possesses a mastery of office skills, demonstrate ability to assume responsibility without direct supervision, ability to set priorities, exercise initiative and judgement, and make decisions within the scope of assigned authority.
Highly proficient with Microsoft Office Suite. Strong written and oral communications skills.
Ability to multitask and function with interruptions is imperative.
Ability to communicate effectively with all levels of employees and outside contacts. Administrative experience in a health care setting preferred.
