POSITION OVERVIEW

The Senior Legal Assistant reports directly to Managing Counsel, Finance and Tax, and will provide day-to-day administrative support as needed to the US-based legal department.  

 

KNOWLEDGE

Strong knowledge in MS Office Suite Products, PowerPoint, and Excel. Independent thinker and problem solver. Highly responsive. Polished communicator, including excellent verbal and written skills.  Previous experience supporting an in-house legal department is preferable, but not required.

 

RESPONSIBILITIES AND ESSENTIAL DUTIES

  • Provides general administrative support to US-based legal department, including expense report management, word processing, copying, scanning, mailing, faxing, document binding, records management, and other clerical duties
  • Handle and coordinate travel arrangements for US-based legal department, including the review and processing of expense reports (Concur a plus)
  • Manage external consultant/law firm invoicing process (including preparation and execution of scopes of work, purchase orders, and coding and review of invoices for accuracy against engagement letters); manage annual internal legal department budget process
  • Prepare and file documents (including correspondence, presentations, and reports) in accordance with records retention policy requirements and assist in maintaining files for legal matters
  • Prepare meeting agendas, minutes and resolutions for Company Charitable Foundation and assist with the same with respect to all other subsidiaries and joint ventures
  • Assist with document collection and production activities as needed
  • Assist with regulatory, tax and court filings as needed, including monitoring relevant proceedings for new activity, downloading, and saving the same in accordance with records retention policy requirements and distributing copies to legal team as required
  • Provide real-time scheduling support for US-based legal department by booking meetings (including WebEx and IT supported meetings) and preventing conflicts; and maintaining current itineraries on a daily, weekly, and monthly basis
  • Demonstrate utmost discretion and confidentiality of sensitive information
  • Anticipate the needs of others to ensure their seamless and positive experience
  • When requested, open, sort, and distribute incoming correspondence
  • When requested, screen incoming telephone calls, transcribe accurate messages, recognize, and organize for relative importance and monitor that follow-up action is been taken. When needed, relay message and/or refer call to appropriate individual.  Must be able to exercise appropriate judgment in furnishing information to authorized personnel in response to inquiries
  • Serve as contact to greet and assist outside visitors and attorneys visiting from other offices
  • Interact politely and professionally in written, electronic, and face-to-face format with individuals at all levels of business
  • Coordinate departmental meetings, trainings, and events, including quarterly departmental birthday celebrations, and periodic CLE trainings

QUALIFICATIONS (EDUCATION, EXPERIENCE AND SKILLS)

  • Education and Certifications: Associates or bachelor’s degree is preferred 
  • Experience:  At least 10 years of experience working as legal secretary, legal assistant, or administrative assistant for a law firm or corporate legal departmentEnergy Industry experience preferred
  • Skills
    • Must have excellent computer knowledge in MS Office Suite Products (i.e., SharePoint, Word (i.e., heavy formatting, word processing, applying, and editing styles), PowerPoint, Excel) and the ability to learn & acquire expertise in new software and applications
    • Proficient in using PDF manipulation software (i.e., PDF Docs, PDF Converter Enterprise)
    • Experience and proficiency in use of technology to support practice group efforts (i.e., scanning, ShareFile, Workshare Compare, Litera, Learning Management Systems/Training or similar application to assist with proofing, tracking, and comparing document revisions from multiple contributors)
    • Experience using a document management system preferred
    • Ability to interface with Oracle/SAP platforms to manage and organize approved forms
    • Ability to work independently with minimal supervision while managing own time to support needs of 15-20 US-based legal professionals
    • Detail oriented and ability to work with multiple clients with competing priorities
    • Exceptional organizational skills with the ability to multi-task and meet deadlines
    • Self-starter - High degree of initiative and proven capability to effectively prioritize
    • Excellent communication skills, both written and verbal, and strong interpersonal skills with the ability to interact with individuals at all levels
    • Team player dedicated to maintaining an atmosphere of collegiality and offering support to any member of the legal department team
    • Excellent time management, problem solving and analytical skills
    • Desire to learn new skills and take on additional complex tasks and projects
    • Effective communicator with a high desire of initiative to create a positive experience

WORK CONDITIONS

  • Job is performed in a typical office environment, but is subject to time pressures and constraints, and is often dependent on input from others 
  • Occasionally, work may be performed from home, after normal work hours or on weekends
  • May be required to work overtime
  • Subject to drug and alcohol testing, per applicable federal regulations or as required by Cheniere
