TITLE: HR Generalist 

REPORTS TO: Director of Human Resources

Job Summary:  

The Human Resource Generalist will manage the daily functions of Human Resources (HR)  including recruitment, interviewing and hiring staff, onboarding, manage employee files, benefits, leave of absence, worker’s compensation, benefit management and tracking, company policies, employment law, and employee relations for all Heartland Senior Living (HSL) locations. Responsible to apply human resource expertise to ensure legally compliant organization. This position may work remotely; travel to all HSL facilities is required. 

Qualifications: Heartland Senior Living requires COVID-19 vaccination for all staff in order to comply with Federal, state and local guidelines. Employees may request an exemption based on disability, sincerely held religious beliefs, practices or observances, or medical reasons for the required COVID-19 vaccination in accordance with Federal laws.  This position requires two years’ education or experience in human resources. Ability to maintain strict confidentiality, with strong attention to detail. Excellent oral/written communications. Exceptional interpersonal skills are essential. Required to have an ability to read, write and speak English, and complete and pass a state required background study form which checks for certain criminal convictions or serious/recurring maltreatment.

General Responsibilities:

Support and reinforce Heartland Senior Living mission, vision and beliefs and incorporate them into every customer interaction.

Responsible for recruitment, scheduling and conducting interviews, and onboarding for all HSL sites following EEO/AA guidelines. 

Utilize the ATS to keep job requisitions current, track applicants, and hire candidates for all HSL sites.

Check references, complete new hire visits and license verification, and process background studies for all new hires. 

Process new hire paperwork, break down, and maintain employee files. Sort employee documents and file appropriately, remaining compliant with file regulations and ensuring confidentiality. 

Set up new hires with their online education, network, and email access. Assist with password resets as needed.

Make employee name badges for all entities as needed.

Provide current and prospective employees with information about policies, job duties, working conditions, wages, opportunities for promotion and employee benefits.

Complete employment verifications.

Attends career fairs, expos, or other recruitment/ marketing events. 

Work with Director of HR to administer all benefit plans and ensure compliance to Federal and State regulations 

Communicate benefit eligibility with HSL employees and assist all eligible employees with monthly and annual benefit enrollment.  

Enroll employee benefits with the carrier sites once their elections have been made. 

Reconcile benefit statements from providers monthly.

Process all employee data records in K-Pay such as changes in job title and department/division transfers, wage changes, etc.

Process terminations in all benefit systems and issue COBRA when appropriate. 

Continually update and modify practices to keep recruitment, retention, and staff satisfaction stable and increasing with assistance of HR Director.

Provides consult to employees and management in relation to policy, pay practices, labor law and performance. 

Support employee performance and development & culture-affirming relations practices

Assist, track, and monitor leave of absence and FMLA paperwork, in accordance with state and federal laws.  

Function as the contact person for all Workers’ Compensation claims, communicating with HSL’s Workers’ Compensation insurance carrier, site supervisors and injured employees as needed.  Submit First Reports of Injury to the insurance carrier and follow through with Workability/Work Restriction reports.  Maintain accurate, complete Work Comp claim files. Work to facilitate rapid return to work for injured employees.  Complete OSHA Form 300 as required. 

Assist staff and management team in resolving conflict issues within sites as necessary, working as liaison between department manager and employee and ensure a legal, safe and calm process. 

Conduct exit interviews to identify reasons for employee termination, analyze and recommend any changes.

Assist employees as needed with the self-service portion of Kpay, updating their contact information, withholdings, or direct deposits. 

Assist managers as needed with their tasks in Kpay such as timesheet editing/ approval, recording employee incidents/ attendance patterns, etc. 

Maintains employee confidence and protects payroll and human resources operations by keeping information confidential.

Models positive attitude with change in the organization.

Behaves in a fair and ethical manner toward others and demonstrates a sense of corporate responsibility, confidentiality and commitment of service.

Work effectively with all departments and entities.  Understands needs of the organization and works with others to achieve priority initiatives.  Builds relationships with departments across the organization.

Demonstrates a high level of accuracy and attention to detail.

Demonstrates dependable, professional work habits.

Basic competencies regarding abuse, neglect, exploitation, and misappropriation of resident property.

Basic competencies regarding dementia management, infection control and other areas as identified through the facility assessment.

Knowledge, skills and abilities required by OSHA Hazard communication, HIPPA, QAPI and other organizations.

Respond to emergency codes, ie: fire

Other duties as directed.
