Heimark Distributing is looking for a motivated and reliable Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office and general administrative activities of the company. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment.
Responsibilities
The position is responsible for the following job functions:
- Undertake daily administrative tasks and office processes in support of the administrative department of the company
- Answering incoming phone calls, assisting sales personnel with their customer orders and changes, taking incoming customer phone calls and other customer service tasks
- Perform accounts receivable functions including posting payments, preparing deposits, reconciling electronic payments
- Work with the Accounts Receivable Manager to ensure deliveries and payments are made in compliance with ABC requirements
- Maintain the Accounts Receivable Ageing by following up on past due and short paid invoices
- Interact with our customers in both taking orders and resolving invoice and payment issues
- Perform various daily administrative tasks including sorting the mail, mailing AP checks, sending packages (USPS, FedEx), and other administrative tasks as needed
- Other administrative activities and special projects
Requirements
- High School Diploma or Equivalent
- Previous experience in an office environment required
- Knowledge of computer and Microsoft Office skills (including Excel and Word
- Ability to complete tasks in a timely manner and understand urgency and deadlines
- Must be reliable to work 40 hours a week
- Excellent written, verbal, interpersonal and communication skills
- Strong customer service skills
- Quick learner, easily trained and adaptable to changing environments
- Strong problem-solving and analytical thinking skills
- Strong team player and willingness to help others
- Detail orientated with strong organizational skills
- Bilingual is a plus but not required
Job Type: Full-time
Pay: $19.00 per hour
