What are the responsibilities and job description for the Personal Assistant position at Helen Milan?

We are looking for a responsible Personal Assistant to provide personalized domestic household as well as administrative support to a small business owner. The responsibilities of this role are varied and will transform and change as the needs of our family and business change.

Flexibility, a can-do attitude and a readiness for change is vital. You will become a valued member of our staff but also our family.

Some of your responsibilities include (but are not limited to):

Household Responsibilities

· Managing your business and personal email

· Manage diary, schedule meetings and appointments, answer phone

· Manage household

· Meal planning and prep/ ordering/ shopping for groceries

· Laundry

· Run personal errands

· Personal shopping (in person and online)

· Event planning

· Hire and manage contractors, gardeners etc

· Organizing children’s spaces/ closets

· Occasionally picking up children from school/ watching them for short periods

Business Responsibilities

· Assist shipping team at warehouse (pulling product, organizing product, counting inventory, helping to keep the warehouse tidy etc., occasionally assisting with orders, especially during holiday)

· Make phone calls

· Conduct Research

· Track packages online and on the phone

· Organize events

· Phone and email support (confirming reservations, communicating with staff, vendors, contractors etc)

· Manage diary and schedule meetings and appointments

· Customer Service Emails

· Make travel arrangements

· Source office supplies

· Devise and maintain office filing system

Skills

· Self-Starter

· Proven work experience as a personal assistant

· Discretion and confidentiality

· Knowledge of office management systems and procedures

· MS Office and English proficiency

· Outstanding organizational and time management skills

· Up-to-date with latest office gadgets and applications

· Ability to multitask and prioritize daily workload

· Excellent verbal and written communications skills

· High School degree

· Secondary education or certification is an advantage

Job Type: Full-time

Pay: $35,000.00 - $40,000.00 per year
