SUMMARY
Housing for Health (HFH) is a program office within Health Services Administration, a division under the Los Angeles County Department of Health Services (DHS). HFH was created and put into implementation in support of the Los Angeles County Homeless Initiative recommendations in response to and in support of the County’s effort to address and combat homelessness in the communities residing within Los Angeles County. The HFH Interim Housing Program serves individuals with complex health and/or behavioral health conditions who need a higher level of support services than is available in most shelter settings. The program offers temporary housing in a stable environment to assist clients in increasing independence and completing long term housing goals.
The Interim Housing Senior Secretary IV will serve as an integral member of Housing for Health’s Interim Housing team providing critical administrative support to the leadership team on benefiting people experiencing homelessness.
ESSENTIAL FUNCTIONS
- Acts as administrative aid/secretary to HFH Interim Housing program leadership team.
- Independently responds to request for information (e.g., data reports, past correspondence, etc.), and refers requestors to applicable staff and team members when as needed.
- Aids HFH Interim Housing leadership team in managing appointments, scheduling meetings and applicable conferences, and coordinating logistical needs, such as travel, when needed.
- Acts as intermediary between HFH Interim Housing leadership team and program staff by helping to facilitate note taking at meetings, and relaying messages and requests.
- Prepares an assortment of programmatic correspondence for internal team members and external stakeholders such as provider partners. Correspondence types may include notices, bulletins, letters, report narratives, and memorandums.
- Gathers data for general information purposes or special reports, and contacts other internal and external entities, personnel, etc. for additional material as necessary, and may prepare reports for HFH personnel as required.
- Provides preliminary review of documents and materials being submitted to HFH Interim Housing leadership team, and highlights areas requiring additional attention, signature, or supporting documentation.
- Supports HFH team with oversight project and project plans by coordinating meetings, taking notes, outlining action items, and providing follow up assistance as needed.
- Provides technical and training assistance to new and existing administrative staff.
- Makes appointments and arranges conferences and meetings for HFH personnel as applicable.
- Collaborates with HFH operations and office management teams to ensure Interim Housing program supply and technology needs are met. This may include- completing requests for office supplies, technology or cellular equipment, DocuSign accounts, etc.
- Replies to verbal and written communications.
JOB QUALIFICATIONS
Education/Experience
- One year of highly responsible secretarial experience at the level of Los Angeles County's class of Secretary III, Secretary IV, Senior Secretary I, or Senior Secretary II - OR-
- One year functioning as secretary to either (1) the head of a major section in a small County department, or (2) the head of a major unit in a large and complex County department. - OR -
- Two years of experience acting as a secretary or administrative aide to the lead(s) of a small county or business department.
Certificates/Licenses/Clearances
- A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions.
- Successful clearing through the Live Scan process with the County of Los Angeles.

- Interest in working on projects that serve the homeless population of greater Los Angeles County.
- Excellent verbal and communication skills.
- Proficient skill set in using an array of Microsoft Office Suite software programs such as Word, Excel, PowerPoint, Access, Adobe Reader, One Note, Outlook, Publisher, Skype, Outlook, etc.
- Able to multi-task and set workload priorities for time sensitive projects/tasks.
- Able to communicate with all levels of personnel, e.g., written, verbal, in a professional and concise/clear manner; ability to work within a project team and/or independently.
- Able to work in a very diverse environment and with diverse individuals.
- Ability to be flexible in meeting changing work tasks and timelines; must be dependable and reliable.
