What are the responsibilities and job description for the Front Desk Receptionist position at Helwig Carbon Products, Inc.?
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Operate a multiline telephone system, answering and directing callers and visitors to the appropriate personnel.
- Perform various administrative support functions to present a professional and positive image of Helwig Carbon Products, Inc.
- Retrieve messages from voice mail and forward them to the appropriate personnel.
- Answer incoming telephone calls, determining the purpose of the call and forward to appropriate personnel or department for assistance.
- Take and deliver messages and/or transfer calls to voice mail when appropriate personnel are unavailable.
- Answer basic customer and candidate questions regarding the history and purpose of the organization and provide callers and visitors with the address, directions to the facility, and other information.
- Welcome all on-site visitors, determine the nature of their visit, announce them to the employees, provide a visitor pass and ensure that the person is signed in and escorted.
- Scan documents and store electronically as appropriate.
- Receive, open, sort, and route incoming mail, stamping and preparing outgoing mail for pick up by carrier or bonded service and maintain and route general publications.
- Sign for packages and envelopes delivered on a daily basis and route as appropriate.
- Assist with Customer Order Entry when needed in a back up capacity.
- Perform other functions as needed or required to meet Company Goals.

Qualifications

Education and/or Experience
A high school diploma or equivalent preferred. A minimum of 6 months of basic Customer Service, Receptionist and/or Administrative experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should be proficient in the Microsoft Suite including Word, Excel, Outlook, and PowerPoint. 10 key proficient. Minimum typing speed of 50 words per minute.
Other Skills and Abilities
Ability to successfully complete multiple tasks on time.
